Job Summary
We are seeking a dedicated and professional Volunteer Receptionist to join our organisation. This role involves providing a welcoming front-desk presence, managing incoming calls, and supporting administrative tasks to ensure smooth daily operations. The ideal candidate will possess excellent organisational skills, strong communication abilities, and proficiency with office software. This paid position offers an opportunity to gain valuable experience in a dynamic environment while making a positive contribution to our community.

Responsibilities

Greet visitors warmly and professionally, ensuring a positive first impression
Answer and direct incoming phone calls with courtesy and clarity, adhering to proper phone etiquette
Manage appointment scheduling and maintain the organisation’s calendar efficiently
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as required
Assist with administrative duties such as filing, photocopying, and maintaining organised records
Support the team with general clerical tasks to facilitate daily operations
Ensure the reception area remains tidy and welcoming at all times

Requirements

Previous office or administrative experience is preferred but not essential; a willingness to learn is important
Strong computer skills, including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Docs, Sheets), and data entry software
Excellent organisational skills with the ability to multitask effectively
Good typing speed and accuracy for efficient data entry tasks
Demonstrated phone etiquette and professional communication skills
Administrative experience or familiarity with QuickBooks is advantageous but not mandatory
Ability to work independently whilst being a reliable team player
A proactive attitude with organisational skills that support smooth front-desk operations
