Full job description

Please read this first

This role is Wednesday, Thursday and Friday only. Wednesday and Thursday run 08:30 to 19:00. Friday runs 08:30 to 17:00. There is a lunch break 1300-1400.

Those hours are fixed, and we are being straight about them up front for a reason: two evenings a week until 7pm suits some people very well and does not suit others at all. If the evenings are a problem, this is not the right role, and we would much rather you knew that in the first ten seconds than in month three.

About us

The Woodstock Chiropractor has been looking after families in Woodstock and the surrounding villages for over ten years. We are on Oxford Street, a short walk from Blenheim Palace, and we are the busiest independent chiropractic clinic in the area. We are part of Cotswolds MSK, which also runs a clinic in Stow-on-the-Wold.

We are a small team, and the front desk is the engine room. Patients tell us that the welcome they get here is one of the reasons they keep coming back. That is not an accident. It is the job we are hiring for.

The role

You are the first person every patient sees and the first voice they hear. You run the diary, you run the desk, and you keep the day moving so that the clinicians can focus on patient care.

Day to day you will be:

Welcoming patients in and settling them ahead of their appointment
Answering the phone, replying to emails, and turning enquiries into booked appointments
Managing and protecting the clinic diary, including rebooking and filling cancellations
Taking payments and setting up care plans
Keeping patient records accurate on our practice software
Supporting the clinical team with admin
Keeping the front of house calm, tidy and running to time

What success looks like

We will review this with you at three months and again at six:

Patients rebook before they leave, rather than afterwards
Every call is answered, and every enquiry is followed up the same day
Cancellations get filled rather than left as gaps in the diary
The clinicians start on time, because the desk has already handled everything else

About you

You will do well here if you are:

Warm with people, and genuinely interested in them
Organised, with a memory for detail and for faces
Calm when three things need doing at once, which they will
Confident on the phone, including with people who are in pain or frustrated
Comfortable on a computer and quick to pick up new systems
The sort of person who spots what needs doing and does it, initiative is key.

Experience in reception, healthcare, hospitality, retail or admin is useful, but we will train the right person. Attitude is the one thing we cannot teach.

No clinical qualifications are needed.

This role is probably not for you if

You need full time hours, or you are hoping this will become full time
You want a quiet desk job. This one is not quiet.
Two evenings a week finishing at 7pm would be a strain
You are looking for something short term while you work out your next move

Hours and contract

Permanent, employed and PAYE. Not self-employed, not agency.

26.5 hours per week across three days:

Wednesday 08:30 to 13:00, then 14:00 to 19:00
Thursday 08:30 to 13:00, then 14:00 to 19:00
Friday 08:30 to 13:00, then 14:00 to 17:00

One hour lunch break each day.

Additional hours and holiday cover are available if you would like them, including occasional cover at our Stow-on-the-Wold clinic.

Start date: 16th September. Six month probation period.

Getting here

We are at 41C Oxford Street, Woodstock, OX20 1TJ. The S3 bus stops a short walk away and runs to and from Oxford, but evening services thin out, so please think honestly about how you would get home after a 19:00 finish. All of our team drive.
