Residential Lettings Co-ordinator - Bailey Estates – Birkdale Village, Southport

Bailey Estates is a successful, independent, family-run residential sales and lettings agency based in the heart of Birkdale Village, Southport.
We are now looking for an enthusiastic, organised and capable Residential Lettings Co-ordinator to join our established lettings team and work closely alongside our Lettings Director and Lettings Administrator.
This is a varied and interesting role which combines working from our Birkdale office with regular visits to our managed properties throughout the Southport area.
The Role
The successful candidate will play an important part in ensuring that our landlords' properties are well maintained and that our tenants receive a professional and responsive service throughout their tenancy.
You will be dealing directly with both property owners and tenants, ensuring that issues are dealt with promptly, properties are properly maintained and the requirements of current residential letting legislation are followed.
The role will include:
- Acting as a key point of contact for landlords and tenants throughout the tenancy.
- Dealing promptly and professionally with maintenance issues and property-related problems.
- Assessing maintenance requirements and determining the appropriate course of action.
- Instructing, communicating with and managing external contractors and tradespeople.
- Obtaining quotations where appropriate and monitoring maintenance work through to completion.
- Ensuring repairs and maintenance are carried out to an appropriate standard and within a reasonable timescale.
- Liaising with landlords regarding repairs, maintenance and expenditure.
- Dealing fairly, professionally and firmly with both landlords and tenants where necessary.
- Monitoring rent payments and assisting with the management of rent arrears.
- Ensuring tenancy documentation, records and property information are accurate and kept up to date.
- Keeping abreast of current legislation and legal requirements relating to residential lettings and ensuring the appropriate procedures are followed.
- Preparing properties prior to a new tenancy.
- Carrying out detailed property inventories and schedules of condition, including writing comprehensive reports and taking a substantial number of photographs.
- Carrying out routine property inspections during tenancies.
- Visiting properties with tenants where required.
- Carrying out check-out inspections when tenants vacate properties and reporting on the condition of the property.
- Comparing check-in and check-out condition and identifying any issues requiring attention.
- Liaising with landlords and tenants regarding dilapidations, damage and remedial works.
- Helping to coordinate properties between tenancies, including arranging cleaning, repairs and other necessary works.
- Attending properties when required to deal with urgent or emergency issues.
- Maintaining accurate records of inspections, repairs, correspondence and actions taken.
- Building and maintaining good working relationships with our landlords, tenants and contractors.
- Working closely with the Lettings Director and Lettings Administrator as part of the wider lettings team.
What We Are Looking For
Previous residential lettings or property management experience would be highly advantageous, although it is not necessarily essential for the right person.
We are looking for someone who is:
- Highly organised and able to manage several tasks and properties simultaneously.
- A confident and professional communicator.
- Comfortable dealing with both landlords and tenants, including difficult or challenging situations.
- Firm but fair and able to remain calm under pressure.
- Practical and able to use common sense and initiative when dealing with property problems.
- Studious and willing to learn and understand the legislation and regulations governing residential lettings.
- Detail-oriented, particularly when carrying out inventories and property inspections.
- Confident using computers, email and standard office systems.
- Able to write clear, accurate and professional reports and correspondence.
- Reliable, punctual and capable of working independently.
- Comfortable dealing with contractors and ensuring that work is completed properly and promptly.
- Presentable and professional when visiting clients' properties.
- Friendly and approachable while maintaining professional boundaries.
- Able to prioritise urgent matters and make sensible decisions.
- Knowledgeable of Southport and the surrounding areas.
A background in residential lettings, property management, estate agency, facilities/property maintenance, surveying or a similar customer-facing property role would be beneficial.
A Varied Role
This is not a purely office-based administrative position.
Some days will be spent in our Birkdale Village office dealing with landlords, tenants, contractors, paperwork and property management issues. Other days will involve travelling around Southport and the surrounding areas to undertake inspections, inventories, check-outs and property visits.
You therefore need to enjoy a role where no two days are necessarily the same and where you are trusted to use your initiative.
Driving Licence and Own Vehicle
A full UK driving licence and your own reliable vehicle are essential, as the role involves regular travel between properties.
Business-use insurance will also be required.

Salary: Competitive and dependent upon experience.
Working hours: Predominantly Monday to Friday, with occasional Saturday working required.
