Full job description

Dickinson Egerton Block Management are a property management agent dealing specifically with apartment blocks.

OVERVIEW

The candidate should ideally be familiar with building parts and grounds.

The maintenance coordinator will be responsible for receiving inbound phone calls and emails alerting the business to maintenance requirements of communal areas of apartment blocks, not individuals flats, and then contacting pre-selected contractors to remedy.

A log must be kept of all maintenance activity using our in-house system.

Additionally, records must be obtained and stored regarding contractors; that being their Insurance Policy and Risk Assessments.

When the business has determined the candidate has proficient knowledge of the role, they will be required to share, on a rota basis, the businesses Emergency out-of-hours mobile phone.

MAINTENANCE

· Receiving inbound calls, emails from flat owners regards maintenance issues

· Receiving verbal, emails instructions from our Property Managers regarding maintenance issues

· Logging the above appropriately onto our in-house system

· Liaising with Property Managers for authorisation to carry out works

· Generating Works Orders for contractors

· Co-ordinating external contractors to ensure work is carried out in a timely fashion

· Confirming to both Property Manager and the owner that work has been completed

INSURANCE CLAIMS

· Instructing contractors to quote

· Liaising with all parties to ensure claims are carried through to a successful conclusion

ADDITIONAL ONE-OFF PROJECTS

· Co-ordinating additional work to premises at the request of the Property Manager.

COMPLIANCE

Ensuring the following items are obtained from contractors before work commence and keep records up to date at least annually:

· Indemnity Insurance

· RAMS

· Accreditation

SITE ASSESSMENTS

· Diarize a team of two operatives from our sister company to visit all sites at a prescribed frequency

· Scan, file and action site survey forms from the above operatives

Pay: £15,600.00-£24,784.50 per year
