Job Description – Night House Manager

Job Title: Night House Manager
Company: D2PropCo
Location: Cardiff
Reports To: Operations Manager / Property Manager
Hours: 50 Hours - Mon to Fri

Role Purpose

D2PropCo is seeking a professional and highly organised Night House Manager to oversee the management of a residential property accommodating up to 5 residents. The successful candidate will be responsible for maintaining a safe, secure, and well-managed living environment, promoting positive resident behaviour, monitoring incidents, and ensuring compliance with house rules and company policies.

Drawing on concierge-style accommodation management principles, the Accommodation Manager will act as the primary point of contact for residents, visitors, support agencies, and management while maintaining detailed records, carrying out inspections, monitoring access, and responding appropriately to incidents.

Key Responsibilities

Resident Management

Build professional and positive relationships with residents.
Monitor resident behaviour and compliance with house rules.
Address anti-social behaviour, breaches of tenancy/licence agreements, and welfare concerns.
Support residents in maintaining a respectful and safe communal living environment.
Act as the first point of contact for resident enquiries and concerns.

Property Inspections & Checks

Conduct regular welfare checks and room inspections.
Complete routine health and safety inspections of communal areas.
Identify and report maintenance issues, hazards, or property damage.
Ensure cleanliness and acceptable housekeeping standards are maintained throughout the property.
Monitor security measures, access points, and general building condition.

Incident Management

Respond appropriately to incidents, disturbances, emergencies, and complaints.
Investigate and document incidents thoroughly and objectively.
Prepare detailed incident reports and submit them within required timescales.
Maintain accurate records of behavioural concerns, warnings, safeguarding issues, and property-related incidents.
Escalate serious incidents to management, emergency services, or partner agencies when required.

Security & Access Control

Monitor access to the property and ensure only authorised persons are admitted.
Maintain visitor logs and records where required.
Ensure the security of the building through regular patrols and inspections.
Lock and unlock premises as required and ensure security procedures are followed.

Administration & Reporting

Maintain accurate resident records and file notes.
Produce daily, weekly, and monthly management reports.
Record inspections, incidents, welfare concerns, maintenance requests, and resident interactions.
Ensure all documentation complies with company policies and GDPR requirements.

Health, Safety & Compliance

Promote health and safety awareness throughout the property.
Conduct and record fire safety checks and emergency procedures.
Ensure compliance with company policies, safeguarding requirements, and relevant housing legislation.
Assist with audits and compliance reviews when required.

Person Specification

Essential

Previous experience in accommodation management, housing, supported housing, concierge services, property management, security, or a similar role.
Strong report writing and record-keeping abilities.
Experience dealing with challenging behaviour and conflict resolution.
Good communication and interpersonal skills.
Ability to work independently and make sound decisions.
Competent IT skills, including Microsoft Office.
Full UK driving licence (desirable depending on location).

· undergo and maintain an Enhanced DBS (Disclosure and Barring Service) check, with satisfactory clearance as a condition of employment.

Desirable

Knowledge of safeguarding procedures.
Experience within supported accommodation or residential settings.
First Aid qualification.
SIA Licence (advantageous).
Knowledge of health and safety requirements in residential environments.
