About the Role:
At Vinayak Numerology and Strategic Advisory, we help individuals and organisations make confident decisions through structured advisory services, personal development programmes, and practical business support. Based in Dumfries, we are building a professional services company that combines thoughtful guidance with strong operational standards.
We are looking for a Director of Operations who can take ownership of our daily business operations and support the company’s long term growth. You will be responsible for creating efficient systems, improving service delivery, managing internal teams, and ensuring that every department works toward the same commercial and client service goals.
You will work closely with senior leadership, department managers, advisers, and external partners. This is a hands on leadership position for someone who can turn business strategy into clear processes, measurable results, and consistent service standards.
Why Work With Us?
The Environment:
Our office is located at The Crichton in Dumfries, a professional and well connected business setting surrounded by green spaces. We value a calm, organised, and collaborative workplace where leaders are trusted to take ownership of their responsibilities.
Leadership Influence:
You will have a direct role in shaping the company’s operating model, internal policies, service standards, and growth plans. Your recommendations will influence how the organisation develops and serves its clients.
Growing Organisation:
You will join the company at an important stage of expansion. This provides an opportunity to introduce new systems, develop capable teams, and establish operational standards that can support sustainable growth.
Professional Development:
We support continuous learning through leadership training, relevant industry events, professional memberships, and development opportunities connected to business operations and service management.
Key Responsibilities:
Operational Strategy:
Develop and implement operational plans that support the company’s commercial objectives, client service standards, and long term growth strategy.
Business Process Improvement:
Review existing processes and introduce practical improvements that increase efficiency, reduce unnecessary costs, and improve the overall quality of service delivery.
Team Leadership:
Lead and support department managers and operational employees. Set clear expectations, monitor performance, and create an accountable and positive working environment.
Service Delivery Management:
Ensure that advisory services, client programmes, and internal support functions are delivered consistently, professionally, and within agreed timelines.
Financial and Resource Planning:
Work with senior leadership to manage departmental budgets, staffing requirements, supplier costs, and operational resources.
Performance Management:
Establish relevant performance indicators and provide regular reports on productivity, service quality, operational risks, and business progress.
Compliance and Risk Management:
Maintain appropriate operational policies, data handling procedures, health and safety standards, and internal controls. Identify potential risks and ensure corrective action is taken.
Stakeholder Management:
Build productive relationships with senior leaders, employees, clients, suppliers, and professional partners. Communicate operational decisions clearly and manage competing priorities effectively.
What We Are Looking For:
Experience:
At least 7 years of experience in business operations, professional services, client services, consultancy, or a related field, including a minimum of 3 years in a senior leadership position.
Leadership Skills:
Strong experience managing teams, department managers, budgets, performance targets, and organisational change.
Operational Knowledge:
A proven ability to design processes, improve service delivery, manage resources, and translate business objectives into practical operational plans.
Commercial Awareness:
A clear understanding of revenue growth, cost management, customer retention, workforce planning, and business performance.
Communication Skills:
Excellent written and verbal English communication skills. You must be confident presenting recommendations, managing senior stakeholders, and handling sensitive business matters professionally.
Qualifications:
A degree or professional qualification in Business Management, Operations Management, Finance, Leadership, or a related discipline is preferred. Relevant senior management experience may be considered in place of formal qualifications.
Mindset:
You are organised, commercially aware, calm under pressure, and comfortable making decisions. You can balance strategic planning with hands on operational leadership and are motivated by building reliable systems that help people perform at their best.
