Administrative Assistant – Part Time

£14.00 per hour | 16–24 hours per week | Oxford / Hybrid

Protek Systems is a specialist IT infrastructure company delivering structured cabling, data centre, AV and smart building projects across the UK, Europe, the Middle East and North America.

We work with some of the world's leading technology companies, contractors and consultants, delivering projects where organisation, quality and attention to detail really matter.

As our business continues to grow, we're looking for an organised and proactive Administrative Assistant to support our team and help keep the day-to-day business running smoothly.

This is a varied role and an excellent opportunity for someone who takes pride in being organised, enjoys getting things done and would like to become an important part of a friendly, ambitious team.

The Role

No two days are quite the same. You'll support our directors, project managers and engineers with a wide range of day-to-day administrative tasks.

Typical responsibilities could include:

Managing emails and general correspondence
Answering telephone enquiries professionally
Preparing quotations, purchase orders and project documentation
Creating and maintaining project files and records
Booking hotels, flights and travel for engineers
Assisting with supplier orders and deliveries
Updating spreadsheets, databases and company systems
Supporting invoice processing and document control
Preparing meeting notes and action lists
Managing office supplies and general administration
Assisting with HR administration and onboarding paperwork
Maintaining customer and supplier records
Providing general administrative support to the wider team

What We're Looking For

We're looking for someone who is:

Highly organised with excellent attention to detail
Friendly, professional and confident communicating with customers, suppliers and colleagues
Able to prioritise tasks and work independently
Comfortable using Microsoft Office, particularly Word, Outlook and Excel
Quick to learn new systems and processes
Reliable, proactive and willing to take ownership of their work
Positive, practical and happy to get stuck in when needed

Previous administration experience would be helpful, but it isn't essential. We're equally interested in someone with excellent organisational and communication skills, the right attitude and a willingness to learn.

What We Offer

£14.00 per hour
16–24 hours per week
Flexible part-time working (working pattern can be agreed with successful candidate)
