Job Description:

7N Architects are an award winning, Edinburgh-based architecture practice with a strong focus on placemaking, creating buildings, neighbourhoods and public spaces that have lasting social, environmental and economic value. The practice works across a broad range of sectors, collaborating closely with clients, communities and project teams to create well-considered places that are both practical and inspiring.

We are an employee-owned business which values collaboration, creativity and making a meaningful contribution to the places in which we live and work. We are looking for an organised, proactive and friendly Studio Administrator to join our team. This is a varied role ensuring the day-to-day operations of the studio environment whilst supporting our growing architectural team of 16 persons. Reporting to the Practice Manager, you'll play a key role in creating a positive studio environment.

Generally

· The role is primarily to provide administrative support and to manage the studio environment.

· The job is varied in nature and requires a level of initiative, flexibility and adaptability.

Studio Management

Provide day-to-day administrative support to the studio, including printing, travel bookings and general clerical tasks.
Welcome visitors and be the first point of contact for clients, consultants and suppliers.
Answer and direct telephone enquiries in a professional, friendly and efficient manner.
Manage the meeting room diary and prepare meeting spaces for internal and external meetings.
Order office supplies, groceries, catering and other studio essentials.
Coordinate incoming and outgoing mail, deliveries and couriers.
Support the planning and organisation of studio events and team activities.
Arrange maintenance and repairs for the studio premises as required.
Help coordinate staff training and maintain training records.
Support the administration of practice accreditations, including RIBA Chartered Practice, ISO standards and other quality management systems.

HR Administration

Support the administration of annual leave, sickness and other statutory leave.
Help keep studio policies and documentation up to date in line with current legislation.
Assist with recruitment activities, onboarding and induction for new team members.

Health & Safety

Support the First Aiders and Fire Wardens by coordinating training, qualifications and appropriate cover.
Help organise fire drills, safety checks and other compliance activities.
Maintain Health & Safety records and ensure statutory inspections and checks are completed on schedule.

The ability to handle sensitive and confidential information with discretion.
Excellent written and verbal communication skills.
Good IT skills, including Microsoft Word, Excel and Outlook.
Experience using databases and spreadsheets.

Desirable, but optional skills

Experience working in architecture, urban planning, or design fields, or an interest in these sectors.
Experience with InDesign and/or Photoshop graphic software, or an interest in developing these skills.
Experience of financial administration such as invoicing, payroll and/or Xero Accounts, or an interest in developing these skills.
