Programme Coordinator – Workplace Wellbeing

Location: Harefield (near Uxbridge)
Contract: Full-time, office-based (Full-time hours: Mon–Fri, 8.30am–5.30pm)
Salary: £27,000–£29,750

Now, we’re looking for a values-driven, purpose-led Programme Coordinator to join our growing team. Someone who isn’t just looking for a job, but feels inspired by the idea of shaping a future where work and wellbeing go hand in hand.

About the role

This is an office-based, client-facing role where you’ll play an essential part in delivering projects that change lives. No two days will be the same: one day you may be analysing wellbeing data from an international company, the next you might be helping craft a workshop to support frontline staff.

You’ll be right at the heart of our consultancy and research work, supporting programmes that help some of the world’s most recognisable organisations take care of their people.

This role is ideal if you’re looking to build a career in the fast-growing workplace wellbeing sector and want your daily work to create a meaningful ripple effect.

What you will be doing day to day

Maintaining programme trackers, schedules and action logs across multiple live client projects
Coordinating logistics for training sessions and workshops — room bookings, invites, materials, joining links, pre-reading
Communicating with clients on day-to-day matters — scheduling, queries, updates and follow-ups
Liaising with facilitators and associates to confirm availability, share briefs and ensure they have everything they need
Preparing client-facing documents, reports and presentation decks
Supporting data collection and basic analysis of wellbeing assessments and survey results
Keeping shared files, SharePoint folders and team systems organised and up to date
Supporting the onboarding of new clients and projects into the delivery workflow
Helping draft programme materials, resources and content where needed
Flagging issues early and working with the team to resolve them

What we are looking for

Strong organisational skills — you like things to be in order and stay on top of detail naturally
Good written communication — clear, professional and warm in emails and documents
Comfortable managing multiple tasks and priorities without dropping the ball
A people person — you build good relationships easily and enjoy working with others
Proactive — you spot what needs doing and do it without waiting to be asked
Genuine interest in mental health, wellbeing and the difference organisations can make
Comfortable with Microsoft 365 — Teams, Outlook, Word, Excel, PowerPoint, SharePoint

Desirable but not essential

Experience in a coordination, administration or project support role
Background or education in psychology, mental health, wellbeing or HR
Experience working in a consultancy, L&D or people-focused environment
Familiarity with AI tools and an interest in using them to work more efficiently
Experience dealing with clients or external stakeholders
Driving licence and access to a vehicle — preferred but not essential
