Repairs Coordinator – Property ManagementJob Overview
An exciting opportunity has arisen for an experienced Repairs Coordinator to join our busy and growing Property Management team.
The successful candidate will be responsible for coordinating and overseeing repairs, maintenance and compliance across our portfolio of managed residential properties, ensuring all works are completed efficiently, cost-effectively and to the highest standard.
This is a fast-paced role that requires excellent organisational skills, strong communication, and the ability to manage multiple tasks and competing priorities while delivering exceptional customer service.
Key Responsibilities
- Coordinate and oversee all day-to-day maintenance, repairs, insurance works and planned maintenance from initial report through to completion.
- Liaise with tenants, landlords, contractors and suppliers, ensuring all parties are kept informed throughout the repair process.
- Schedule repairs and allocate work to approved contractors across a wide range of trades.
- Monitor outstanding repairs and proactively manage jobs through to completion within agreed timescales.
- Diagnose maintenance issues from information provided by tenants and determine the most appropriate course of action.
- Arrange all statutory safety inspections, including Gas Safety Certificates, Electrical Installation Condition Reports (EICRs), Legionella Risk Assessments, PAT testing and other compliance requirements, ensuring they are completed within the required timescales.
- Obtain quotations where required and seek landlord authorisation in accordance with company procedures.
- Build and maintain strong working relationships with landlords, tenants, contractors and suppliers.
- Ensure all repair records, compliance certificates, invoices and supporting documentation are accurately recorded within the property management system.
- Assist with insurance claims and major repair projects where required.
- Escalate complex maintenance issues to management when appropriate.
- Deliver an exceptional level of customer service at all times.
- Undertake any other duties reasonably required within the Property Management Department.

Experience & Knowledge
Previous experience coordinating maintenance works within residential property is highly desirable and will be considered a significant advantage.
However, applications are welcomed from candidates who do not have direct Repairs Coordinator experience, provided they can clearly demonstrate:
- A good understanding of maintenance and repair works within residential properties.
- Knowledge of the different building trades and the types of repairs typically carried out within residential homes.
- The ability to assess reported maintenance issues, understand the fault-finding process and determine the most appropriate repair solution before instructing contractors.
- An understanding of the order in which repairs should be carried out and how different trades interact during repair works.
- Confidence communicating with contractors, tenants and landlords to ensure repairs are coordinated effectively.
- The ability to prioritise urgent repairs and manage multiple jobs simultaneously.
Candidates with experience in any of the following will be particularly welcomed:
- Residential Property Maintenance
- Lettings or Property Management
- Building or Maintenance Contractors
- Building Trades (Joinery, Plumbing, Electrical, Painting & Decorating, Plastering, Roofing etc.)
- Facilities Management with significant residential property maintenance experience
Desirable
- Previous experience within a residential lettings or property management environment.
- Experience using Jupix or similar property management software (training can be provided).
- Knowledge of landlord and tenant legislation.
- Knowledge of residential property compliance requirements.
- ARLA Propertymark or other relevant property qualifications.
