Purpose of the Role
The Tutor Operations Officer supports the effective delivery of Learna’s postgraduate programmes by coordinating tutor-related operations across multiple faculties. The role focuses on tutor onboarding, approvals, allocation, and ongoing support, ensuring all processes align with university partner requirements and internal quality standards.
Responsibilities
Tutor Onboarding & Approvals
- Coordinate the end-to-end tutor onboarding process across programmes
- Review and quality-check tutor CVs before submission for Programme Director approval
- Liaise with Programme Directors to obtain academic approval for tutoring roles
- Support tutors in completing university approval processes (e.g., Recognised Tutor Status)
Tutor Allocation & Workload Coordination
- Allocate tutors to modules and marking responsibilities in line with programme needs
- Monitor tutor workloads to ensure equal student distribution
- Support resourcing requirements for new cohorts and upcoming new module deliveries
Stakeholder Communication
- Act as a key point of contact for tutors, responding to all queries in a timely and professional manner
- Draft clear and concise communications to tutors, Programme Directors, and internal teams
- Escalate tutor concerns where required, maintaining a solution-focused approach
Academic Process Coordination
- Support the delivery of key academic processes, including:
○ In-Year Retrieval (IYR)
○ Marking and moderation workflows
○ Academic integrity processes (e.g., high similarity scores, AI misuse guidance)
- Ensure tutors are appropriately guided on policies and best practices
Quality Assurance & Compliance
- Ensure tutor engagement aligns with Learna and university partner expectations
- Maintain accurate records of tutor approvals, allocations and activity
- Support quality assurance processes to uphold academic standards across programmes
Operational & Administrative Support
- Maintain and update tutor databases and trackers
- Monitor key deadlines and ensure timely completion of tutor-related activities
- Remain open to identifying opportunities to improve operational efficiency and tutor experience
Skills and Experience
Essential Skills
- Proven experience in an administrative or operations role
- Excellent written communication skills, with the ability to draft professional correspondence
- Strong organisational skills with the ability to manage multiple priorities
- High level of attention to detail and accuracy
- Confident working with stakeholders at different levels, including academic staff
- Proficient in Microsoft Office or Google Suite and database/CRM systems
Desirable
- Experience working with postgraduate or online distance learning programmes
- Familiarity with UK higher education processes and academic structures
- Experience supporting tutors or faculty management
