Full job description

We are seeking a highly organised and proactive Executive Assistant to support the day-to-day operations of a portfolio of businesses owned and led by a single principal. This is a varied, fast-paced role suited to someone who thrives on managing multiple priorities across different ventures simultaneously, anticipates needs before they arise, and takes genuine ownership of the smooth running of the principal's professional (and where relevant, personal) commitments. You will act as the central point of coordination across the businesses — managing schedules, communications, projects, and administrative operations — freeing up the owner's time to focus on strategic decision-making and growth. Key Responsibilities Diary & Communications Management Manage complex, multi-business calendars, proactively resolving scheduling conflicts Screen and prioritise emails, calls, and correspondence across ventures Draft, proofread, and send communications on behalf of the owner Business Operations Support Coordinate day-to-day administrative tasks across each business in the portfolio Liaise with staff, contractors, and external partners on the owner's behalf Track deadlines, deliverables, and outstanding actions across all businesses Maintain organised digital filing systems and records for each entity Meetings & Travel Schedule and prepare agendas for meetings; take minutes and track follow-up actions Arrange travel, itineraries, and accommodation as required Project & Task Coordination Support ad hoc projects and initiatives across different businesses as priorities shift Follow up with third parties (suppliers, clients, advisers) to keep projects on track Maintain task lists and provide regular status updates to the owner Financial & Administrative Support Assist with basic bookkeeping tasks, expense tracking, and invoice processing Liaise with accountants, solicitors, and other professional advisers as needed Support with document preparation (contracts, reports, presentations)

Pay: £24,420.00-£35,000.00 per year
