The Role
The Supply Chain Coordinator supports the day-to-day movement of orders through production, shipping and
warehouse delivery. The role requires excellent organisation, accurate communication and consistent follow-
through. Technical knowledge can be developed through training, but the successful person must already
demonstrate ownership, attention to detail and sound judgement around when to ask or escalate.
What you'll be doing
Initial focus
Manage straightforward UK orders with guidance and clear escalation support.
Maintain accurate order records, chase updates and keep stakeholders informed.
Build knowledge of suppliers, products, decoration methods, artwork and logistics.
Progress gradually towards more complex EU, US and international production.
Order coordination
Review assigned orders and check that the required information is present.
Request quotes, confirm stock and lead times and gather supplier information.
Send approved order details to suppliers and maintain clear written records.
Track production progress and follow up when updates are overdue.
Keep HubSpot, spreadsheets and internal statuses accurate and current.
Flag missing information, changed deadlines or emerging risks promptly.
Support split deliveries and warehouse coordination under guidance.
Supplier communication
Write clear, professional emails and ask direct questions.
Chase suppliers consistently and record agreed actions or dates.
Query vague, incomplete or contradictory updates rather than accepting them at face value.
Escalate quality, timing, pricing or communication concerns to the Supply Chain Lead.
Build positive working relationships while remaining comfortable holding suppliers accountable.
Artwork and production support
Check that the correct artwork version, branding method, size and placement information has been supplied.
Coordinate proofs and ensure required approvals are recorded before production.
Learn to identify common risks for embroidery, print, colour matching and garment suitability.
Refer uncertain or unusual artwork decisions to the Supply Chain Lead or graphics team.
Never guess an approval because a deadline is tight.
Logistics and warehouse support
Arrange routine parcel collections and provide accurate delivery details.
Gather and record carton quantities, dimensions, weights and tracking information.
Monitor shipments and raise delivery exceptions promptly.
Communicate with warehouses about inbound goods and required documentation.
Develop knowledge of pallets, freight, customs and international shipping over time.
Quality and issue management
Record shortages, damage, defects or discrepancies clearly and gather supporting evidence.
Communicate straightforward issues to suppliers using agreed processes.
Track actions, replacements or credits through to completion.
Escalate significant financial, quality or client-impacting issues rather than resolving them without authority.
Essential Skills
Responsiveness Supply chain moves fast and so do we. We're looking for someone who is incredibly responsive to resolve urgent issues.
Accuracy You'll be managing complex admin processes across multiple orders at once. We want to see evidence of low error rates - whether that's reduced order corrections, strong QA pass rates, or documented checks you've put in place yourself.
Communication You'll be the link between sales, production and logistics. You'll be able to influence, write professional emails, ask direct questions and summarise issues in a useful way.
Troubleshooting Things go wrong in supply chain. What matters is how fast you fix them. We want to hear examples where you reduced delay time, caught an issue early, or kept a problem away from the dispatch team entirely.
Attitude We're a collaborative team that takes ownership and focuses on fixing problems rather than pointing fingers. If that sounds like you, you'll fit right in.
Desirable Skills
Background in production, purchasing, procurement, supply chain or order coordination
Working with suppliers, warehouses, couriers or fulfilment providers
Familiarity with print types and Pantone matching
Experience working with 3PLs and international shipping or customs documentation
Promotional merchandise, apparel, print, manufacturing or e-commerce
Customer service, account coordination or project administration
Google Sheets or Excel and a CRM or order-management system
Handling complaints, quality concerns, quotes or invoice checks
