Sandhams Wine Merchants is an independent, dynamic wine merchant based in the historic market town of Caistor. We are dedicated to sourcing and sharing exceptional wines with a diverse community of wine lovers along with an extensive range of beers and spirits. Our business operates across three vibrant channels: our welcoming local retail shop, an online e-commerce store, and an active trade portfolio supplying restaurants and bars across Lincolnshire. We are looking for an organised, energetic, and customer-focused individual to join our small, passionate team.
The Role
As a Sales & Administration Assistant, you will sit at the very heart of our daily operations. This is a unique, hybrid role combining face-to-face retail customer service with vital back-office administration and digital updates. Because weekends are an important trading time for our shop, working some Saturdays on a rota basis is a core requirement of this position. You will ensure our stock moves seamlessly, our online orders go out flawlessly, and every customer receives top-tier service.
Key Responsibilities
Administration, Software & Digital Updates
* Data & Documentation: Use Microsoft Excel, Word and Outlook daily to maintain accurate stock sheets, format price lists, and draft formal client correspondence.
* Specialist Systems: Manage inventory, process orders, and input data into our dedicated wine trade software (full training provided).
* Website Maintenance: Update our online e-commerce shop with new stock, accurate descriptions, and updated pricing (full training provided).
* Product Photography: Take clear, appealing photos of new wine arrivals to upload directly to our website (full training provided).
* Order Fulfilment: Pick, safely pack, and dispatch online web orders with high attention to detail.
Sales & Customer Service
* Retail Operations: Host shop visitors during weekdays and scheduled Saturdays, offer confident wine recommendations, and process point-of-sale transactions.
* Trade Support: Handle inbound trade enquiries, process recurring B2B orders, and coordinate deliveries for hospitality clients.
* Online Care: Answer customer service emails and phone calls regarding online orders, stock availability, and delivery updates.
Skills & Experience Required
* Flexibility: Willing and available to work occasional Saturdays as part of a structured team rota.
* Tech-Ready: Willing and eager to learn new systems, including our specialist wine industry platform and website back-end.
* Creative Eye: Comfortable handling a camera to take clean, well-lit product imagery for the web.
* Organised: Exceptional administrative skills with the ability to multitask in a busy office environment.
* Communication: Excellent verbal and written communication skills for both retail guests and professional trade clients.
* Physical Fitness: Capability to safely lift and move heavy wine boxes on a daily basis.
* Trade Knowledge: A passionate interest in the world of wines, beers and spirits is essential; an industry qualification (like WSET) is highly desirable but not mandatory.
