Full job description

Accounts & Admin Assistant

Location: Exeter – Marsh Barton, Office Based
Hours: 8:00am - 4:00pm, Monday to Friday (full-time). We will consider Monday to Thursday for the right candidate.
Salary: £28,000 - £30,000 per annum, pro rata for part-time hours, depending on experience and skills
Reports to: Head of Finance

About the Role

We’re looking for a reliable, organised and proactive Accounts & Admin Assistant to join our growing team and work closely with our Head of Finance.

This is a varied, hands-on role covering both accounts and general administration, so it’s ideal for someone who enjoys variety, takes pride in their work and likes to see things through from start to finish.

You’ll play an important role in keeping our finance function running smoothly, with responsibility for key areas of the purchase and sales ledgers, customer and supplier accounts and day-to-day finance and office administration.

If you enjoy working in a SME environment, are confident using your initiative and have a good eye for detail, we’d love to hear from you.

What You’ll Be Doing

Accounts

Manage the purchase and sales ledgers, keeping records accurate and up to date.
Process and check supplier invoices against agreed terms and charges.
Deal with customer and supplier invoice queries and resolve issues promptly.
Monitor customer accounts, manage credit and chase overdue payments where required.
Support the Head of Finance with month-end and general finance administration.
Use QuickBooks and Excel on a daily basis.
Assist with other finance-related tasks as required.

Administration

Provide general office administration support.
Maintain company records, spreadsheets and databases.
Manage business and vehicle insurance records and renewal dates.
Deal with incoming calls, correspondence and general enquiries.
Monitor communications and ensure queries are followed up.
Order office supplies and assist with general office requirements.
Provide administrative support to the Head of Finance and wider team.

About You

We’re looking for someone who is diligent, trustworthy and well organised, with a positive attitude and a willingness to get involved.

Ideally, you will have:

Experience working with purchase and sales ledgers.
Strong Microsoft Excel and general IT skills.
Excellent attention to detail and accuracy.
Good organisational and time-management skills.
The ability to manage multiple tasks and meet deadlines.
Good written and verbal communication skills.
A proactive approach and the confidence to use your own initiative.
The ability to work independently while also being a good team player.
A professional approach and strong work ethic.
The ability to handle confidential financial information with discretion.

QuickBooks experience would be beneficial but is not essential, as training can be provided.
