Contracts Manager – Facilities Management

Location

Peterhead

Salary

£45,000 - £50,000 DOE

Full-time

Job Role

The Contracts Manager is responsible for the effective management and delivery of facilities management contracts, ensuring contractual compliance, high-quality service delivery, customer satisfaction, financial performance, and adherence to all health, safety, and statutory requirements.

Key Responsibilities

Contract Management

Manage multiple facilities management contracts across various client sites.
Ensure all contractual obligations and service level agreements (SLAs) are achieved.
Review contract performance and identify opportunities for service improvements.
Prepare reports and present performance updates to clients and senior management.
Manage contract renewals, variations, and extensions where applicable.

Client Relationship Management

Develop and maintain strong client relationships.
Conduct regular client meetings and performance reviews.
Resolve customer concerns promptly and professionally.
Identify opportunities to grow existing contracts through additional services.

Operational Management

Lead and support site managers, supervisors, and operational teams.
Ensure services including cleaning, security, maintenance, grounds maintenance, waste management, catering, and other FM services are delivered to agreed standards.
Monitor KPIs and implement continuous improvement initiatives.
Manage subcontractors and supplier performance.

Health, Safety & Compliance

Ensure compliance with health and safety legislation and company policies.
Promote a positive safety culture throughout all contracts.
Ensure statutory inspections and planned maintenance are completed.
Support audits and ensure corrective actions are implemented.
Maintain compliance with environmental and quality management systems.

Essential Experience

Minimum 5 years' experience in Facilities Management.
Proven experience managing multi-site FM contracts.
Experience managing budgets and achieving financial targets.
Strong experience in client relationship management.
Experience managing subcontractors and service providers.
Strong understanding of hard and/or soft FM services.

Knowledge & Skills

Excellent contract management skills.
Strong commercial awareness.
Financial and budget management expertise.
Excellent leadership and people management skills.
Knowledge of procurement and supplier management.
Strong negotiation and communication skills.
Proficiency in Microsoft Office and CAFM systems.
Understanding of UK health and safety legislation.
Strong analytical and problem-solving abilities.
