We are a proudly independent veterinary practice based in Bexhill, East Sussex, dedicated to providing exceptional care to our community's pets. We are seeking a detail-oriented, resilient and organised Veterinary Finance and Administration Assistant to join our close-knit team. This role bridges the gap between our clinical operations and financial management. The successful candidate will be responsible for managing financial transactions, seamless billing, accurate bookkeeping, maintaining accurate records, and supporting the administrative functions of the practice, in addition to providing vital cover for our front-desk reception team during busy periods, staff holidays, or sickness. Experience with various accounting software and financial services is highly desirable, alongside excellent data entry skills and a proactive approach to work.
Duties
- Managing accounts payable and receivable using accounting software
- Processing invoices, payments, and expense claims efficiently and accurately
- Maintaining up-to-date financial records through precise data entry
- Assisting with financial reporting and reconciliation tasks
- Supporting administrative functions including scheduling appointments and managing correspondence
- Utilising systems or other relevant platforms for payroll or HR-related tasks
- Ensuring compliance with organisational policies and procedures related to finance and administration
- Providing general administrative support to the veterinary team as needed
- Tracking monthly direct-debit health plans, updating memberships, and managing cancellations.
- Managing end-of-day cashing up and banking.
- Monitoring outstanding client accounts, communicating politely with pet owners regarding payments, and handling overdue invoices.
- Administration & Reception Cover
- Front Desk Cover: Providing seamless cover for the veterinary reception desk when required, welcoming clients, answering phone calls, and booking appointments.
- Data Management: Accurately updating client files, pet details, and billing information in our Veterinary Practice Management System.
- General Admin: Maintaining organised digital and physical files, handling incoming post/emails, and assisting the Practice Manager with general admin tasks.
Qualifications:
- Proven experience with accounting software
- Familiarity with financial services such as accounts payable and receivable processes
- Strong data entry skills with high attention to detail
- Proven experience in a finance, bookkeeping, or administrative role.
- Excellent organisational skills with the ability to prioritise tasks effectively
- Ability to work independently whilst also collaborating effectively within a team
- Excellent numerical skills and proficiency in Microsoft Excel.
- Empathetic, strong and professional written and verbal communication skills, especially when discussing fees with clients or greeting people at reception.
- High attention to detail and the ability to multi-task in a busy clinic environment
Desirable:
- A recognized finance or bookkeeping qualification (such as AAT).
- Previous experience working within a veterinary practice
