Administrative Support / Service Centre Coordinator

Hours: 9am til 2pm
Salary: £13.45 per hour
Contract: Maternity Cover, with potential for a permanent position
About Us
We are an established gym equipment service and repair centre supporting commercial gyms and fitness facilities throughout the South West of England.
Our team of experienced technicians travel across the region carrying out servicing, repairs, preventative maintenance and installation work on a wide range of commercial gym equipment.
We are looking for an organised, reliable and proactive Service Centre Coordinator to join our busy team and help keep our day-to-day service operations running smoothly.
This is initially a maternity cover position, but there is potential for the role to become permanent for the right person.
The Role
This is a varied and hands-on role and is much more than general office administration.
You will work closely with our technicians, warehouse and customers, helping to manage jobs from the initial enquiry through to completion. The role combines administration, technician support, parts management, warehouse duties, scheduling and route planning.
You will need to be comfortable working both at a desk and in the warehouse, as part of the role involves physically locating, picking and preparing parts for our technicians.
Your responsibilities will include:
· Processing and allocating new service and repair jobs
· Speaking with technicians to understand equipment faults and assisting with fault diagnosis
· Identifying parts required for repairs and checking stock availability
· Going into the warehouse to locate, pick and prepare parts required for technician jobs
· Checking parts against job requirements to ensure the correct items are issued
· Preparing parts and equipment for technicians to collect daily for the next days work.
· Scheduling technicians and organising their daily workloads
· Planning efficient routes for technicians across the South West
· Liaising with customers to arrange appointments and provide updates
· Updating job management systems and maintaining accurate records
. General day-to-day support to the service centre
About You
We are looking for someone who is organised, practical, hands-on and able to think on their feet.
This role would suit someone who enjoys a varied working day and is happy to move between office-based administration, speaking with technicians and customers, and getting involved with the warehouse and parts.
You will need to be comfortable managing changing priorities and using your own initiative to keep jobs moving.
The ideal candidate will:
· Have excellent organisational skills and attention to detail
· Be confident communicating with technicians, customers and suppliers
· Be able to manage multiple tasks and prioritise effectively
· Have a practical approach to problem solving
· Be confident using computers and Microsoft Office
· Be comfortable learning new systems and processes
· Have an interest in how equipment works and be willing to develop technical knowledge
· Be able to understand technical information and ask the right questions when helping to diagnose faults
· Be comfortable working in a warehouse environment and handling parts
· Be able to work calmly and efficiently in a busy environment
· Be proactive and able to use their own initiative
· Have a friendly and professional telephone manner
· Be reliable and work well as part of a team
Experience
Previous experience within a gym equipment, engineering, mechanical, service or field-service environment would be an advantage but is not essential.
Experience in areas such as administration, scheduling, dispatch, warehouse/parts management, customer service or technical support would also be useful.
Full training will be provided, including training on our systems, processes and the equipment we support.
