Alongside South Coast CPS, we're developing Collab 360 our collaborative workspace and business hub in Southampton. More than just an office, Collab 360 is designed to be a place where businesses can work, meet, collaborate and grow through flexible workspace, meeting facilities, business events and a thriving professional community.

This isn't a typical administration role. It's an opportunity to help build a growing business, work alongside senior professionals from across the built environment and play a key role in shaping the future of both South Coast CPS and Collab 360.
Working directly with the Managing Director, you'll help ensure the business runs smoothly while supporting conferences, partnerships, client relationships and the continued development of Collab 360 as a destination for business collaboration.
No two days will ever be the same.
The Role
This is a varied position combining business operations, event management, client relationships and office coordination.
You'll be responsible for keeping the business organised, supporting conferences and networking events, maintaining excellent client relationships and helping develop the systems and processes that allow South Coast CPS to continue growing.
As the business expands, so will your responsibilities.
Key Responsibilities
Business Operations
- Support the day-to-day running of the business
- Maintain accurate CRM records, databases and documentation
- Prepare contracts, invoices and correspondence
- Develop and improve internal systems and processes
- Coordinate suppliers and external partners
- Assist with diary management and meeting coordination
- Support company planning and reporting
- Maintain company policies, procedures and records
Conferences & Events
- Assist with coordinating speaker, sponsor and exhibitor information
- Manage delegate enquiries and registrations
- Prepare event schedules and operational documents
- Liaise with venues, suppliers and contractors
- Coordinate conference logistics
- Assist with on-site event delivery
- Ensure every event is delivered professionally from planning through to completion
Sales & Business Support
- Support sponsorship administration
- Prepare sponsorship agreements and proposal documents
- Research prospective sponsors, speakers and partners
- Maintain accurate CRM records and sales pipelines
- Coordinate follow-up actions after meetings and events
- Help identify opportunities to improve client experience and business growth
Client Relationships
- Be a friendly and professional first point of contact
- Build strong relationships with sponsors, delegates, speakers and partners
- Respond promptly to enquiries
- Deliver exceptional customer service
- Ensure clients receive a consistently professional experience

As your experience grows, you'll take increasing ownership of operations, systems and new business initiatives, with the opportunity to progress into an Operations Manager role and ultimately become Head of Operations across the wider Collaboration 360 business.
