Job Purchasing Administrator

Job Type: Full-time, Permanent
Work Location: On-site

Spear-Head Recruitment is looking for a highly organised and detail-focused Purchasing Administrator to join a busy and fast-paced purchasing department.

This is a great opportunity for someone with strong administration skills who enjoys working in a varied role and communicating with different departments. You’ll play an important part in keeping purchasing information accurate, monitoring orders and ensuring the sales team has the information they need.

For the right person, this position offers the opportunity to develop your skills and grow within the business.

The Role

As Purchasing Administrator, you will provide day-to-day administrative support to the purchasing team while working closely with sales and other departments across the business.

Your responsibilities will include:

Monitoring sales orders and ensuring they remain on track for agreed delivery dates.
Liaising regularly with the sales team and providing updates on order progress and expected deliveries.
Inputting and maintaining supplier quotations accurately on internal systems.
Raising and processing orders for consumables and other business requirements.
Communicating with suppliers when required to obtain information and order updates.
Maintaining accurate purchasing and order records.
Organising business travel arrangements for employees and visitors, including hotel and train bookings.
Assisting with general purchasing administration and documentation.
Supporting the wider purchasing team with day-to-day requirements.
Carrying out general office and administrative duties as required.

About You

We’re looking for someone who is organised, dependable and comfortable working in a busy office environment.

Ideally, you will have:

Previous administration experience, ideally within purchasing, procurement, sales administration or a similar environment.
Strong organisational and time-management skills.
Excellent attention to detail and a high level of accuracy.
Good written and verbal communication skills.
Confidence communicating with colleagues across different departments.
Good IT skills and confidence using Microsoft Office and internal systems.
The ability to prioritise your workload and manage several tasks at once.
A proactive approach and willingness to learn.
The ability to work effectively both independently and as part of a team.

Previous purchasing experience would be advantageous, although candidates with strong administration experience and the right attitude are also encouraged to apply.
