Department: Operations Administration
Reports To: Administration manager
Employment Type: Full-time
Salary: £27,500 per annum
Annual Leave: 20 days of paid holiday per annum plus an additional 5 days
of paid holiday to be taken in December plus bank holidays.
Work Location & Schedule
Current Model: 100% remote / work from home.
Future Transition: Shifting to a hybrid model.
Office Requirement: Minimum of three days per week in the office will be
compulsory once the hybrid model is implemented.
Commute: Candidates must be within a reasonable commuting distance to
attend the office regularly when required.
Job Purpose
The Administrator manages the daily administrative, compliance, and
scheduling functions for renewable energy installations. This role coordinates
between customers, technical installation teams, energy grid operators, and
regulatory bodies to ensure seamless project delivery and operational
compliance.
Key Responsibilities, including but not limited to;
Project Coordination: Schedule installation and scaffolding dates prepare
and send subcontractors pre installation paperwork, co-ordinate with installers
and additional maintenance visits for engineers. Filing subcontractor VAT, CIS
invoices and Company bank statements to forward to the Company
accountant.
Documentation & Compliance: Prepare, submit, and track grid connection
applications (e.g., G98/G99 forms) and commissioning certificates. Set up
deposit protection and installation insurances and issue MCS certificates
Customer Support: Serve as the primary point of contact for clients,
providing regular updates on project timelines, invoicing and paid invoice
delivery. General administrative support to the Directors.
Data Management: Maintain accurate records of equipment serial numbers,
battery storage warranties, and customer handovers in the CRM system.
Skills and Qualifications
Experience: Minimum two years of administrative experience.
Technical Literacy: Familiarity with software and CRM tools.
Remote Setup: High level of discipline and communication skills required to
succeed independently during the remote phase.
Organization: Exceptional organizational skills with the ability to manage
multiple regulatory paperwork deadlines simultaneously.
Communication: Clear verbal and written communication skills to handle queries
from both engineers and customers.
