Purpose of the Role
The Site Manager is responsible for the day-to-day operational management, performance, and delivery of all facilities management services across the assigned site(s). The role ensures the safe, compliant, and efficient delivery of both planned and reactive maintenance activities while maintaining exceptional standards of customer service and operational excellence.
Acting as the primary operational lead on site, the Site Manager will develop strong relationships with clients, contractors, and internal stakeholders whilst driving service performance, compliance, team engagement, and continuous improvement.
The Site Manager will lead by example, promoting a culture of accountability, professionalism, safety, and customer focus throughout the site team.
Key Responsibilities
Operational Management
Lead and manage all site-based operations, ensuring services are delivered safely, efficiently, and in accordance with contractual requirements.
Act as the primary point of contact for the client on all operational matters.
Ensure all planned preventative maintenance (PPM) and reactive maintenance activities are completed within agreed service levels and contractual timescales.
Monitor site performance against KPIs, SLAs, statutory obligations, and compliance requirements.
Identify service delivery risks and implement corrective actions to minimise operational disruption.
Drive operational excellence and continuous improvement across all service streams.
Support mobilisation, project delivery, and implementation of new operational initiatives where required.
Client Relationship Management
Build and maintain strong, professional relationships with client representatives and key stakeholders.
Attend regular client meetings and provide operational updates, performance reports, and improvement plans.
Resolve client concerns promptly and professionally, ensuring high levels of customer satisfaction.
Proactively identify opportunities to enhance service delivery and add value for the client.
Leadership & People Management
Lead, motivate, and develop the site team to achieve operational and business objectives.
Conduct regular performance reviews, coaching sessions, and team briefings.
Ensure all personnel understand their responsibilities and perform to the required standards.
Promote a positive working environment aligned with company values and behaviours.
Support recruitment, onboarding, training, and succession planning activities.
Manage attendance, conduct, performance, and wellbeing matters in accordance with company policy.
Compliance & Health and Safety
Ensure all activities are carried out in accordance with statutory regulations, industry standards, and company procedures.
Maintain full compliance with Health & Safety legislation, safe systems of work, and permit-to-work requirements.
Ensure all compliance records, certifications, and maintenance documentation are accurately completed and retained.
Conduct site audits, inspections, and risk assessments to identify and mitigate operational risks.
Investigate incidents and near misses, implementing corrective actions where required.
Maintain a strong safety culture throughout the site operation.
Financial Management
Support the Operations Director in managing operational budgets and financial performance.
Monitor expenditure and identify opportunities for cost savings and efficiencies.
Review quotations and contractor costs to ensure value for money.
Assist in forecasting, budgeting, and financial reporting activities.
Support the growth and profitability of the contract through innovation and effective resource management.
Contractor Management
Manage specialist contractors and suppliers to ensure works are completed safely, compliantly, and to agreed standards.
Monitor contractor performance against agreed KPIs and contractual obligations.
Review and approve quotations within delegated authority levels.
Undertake regular contractor performance reviews and service audits.
Ensure contractors comply with company procedures and site-specific requirements.
CAFM & Reporting
Ensure all maintenance activities are accurately managed through the designated CAFM system.
Review work orders, service reports, compliance records, and operational data to ensure accuracy and completion.
Produce regular performance reports for the Operations Director and client team.
Analyse trends and identify opportunities for service improvements and operational efficiencies.
Skills, Knowledge and Experience
Essential
Proven experience in a Site Manager, Facilities Manager, Engineering Manager, or similar operational leadership role.
Strong knowledge of facilities management, maintenance operations, and statutory compliance requirements.
Experience managing engineering teams, contractors, and service partners.
Strong commercial awareness with experience managing budgets and operational costs.
Excellent stakeholder and client relationship management skills.
Strong leadership, communication, and problem-solving abilities.
Good working knowledge of CAFM systems and service management processes.
Health and Safety awareness with a commitment to maintaining safe working environments.
Desirable
Mechanical or Electrical engineering background.
IOSH Managing Safely, NEBOSH or equivalent Health & Safety qualification.
FM or Engineering related qualifications.
Experience working within a corporate or multi-site facilities management environment.
