Full job description

An exciting full-time, employed position has arisen to join our innovative, forward-thinking therapeutic service in our Cuckfield Clinic.

ABOUT THE SERVICE

Beacon House is a dynamic and thriving multidisciplinary service specialising in therapeutic services for children, young people, families and adults in West Sussex and surrounding areas. We combine psychotherapy, psychology and occupational therapy to provide a range of creative, innovative and carefully formulated assessment and intervention packages, with a special focus on repairing the effects of early trauma.

Our team of 40 specialist therapists is supported by 9 administrators, who together provide therapeutic services to 500 clients. The service is driven by a management team of 7 inspirational, creative and highly motivated leaders who whole heartedly invest in the vision of Beacon House.

The service is registered with Ofsted as an Adoption Support Agency, and we are continually striving to excel in all areas of Ofsted compliance for the benefit of the children, families and adults we support.

THE ROLE - SUMMARY

ADMIN TEAM OPERATIONS

Hold accountability for the overall wellbeing, performance, and professional development of the admin team.
Hold accountability for ensuring sufficient office cover across the admin team at all times.
Co-ordinate sufficient reception cover, and to take an active role in covering reception as and when the service requires it.

ADMIN TEAM LINE MANAGEMENT (DAY-TO-DAY)

Arrange and chair the bi-monthly office team meeting, attended by the Operations Manager, admin and finance team members, the timing of which alternates with the Reflective Supervision Group.
Conduct regular line management meetings (every 6–8 weeks) with admin team members to support performance, wellbeing, professional development, and engagement with processes and systems.
Monitor workload across the admin team and raise concerns promptly with the Operations Manager.
Manage requests for ad-hoc working pattern changes, including working from home days, non-working days, and flexibility for personal appointments.
Serve as the initial point of contact for HR needs within the admin team, including parental leave, planned sickness, and health and safety adjustments, escalating to the Operations Manager for payroll and contractual matters.
Attend monthly meetings with the Operations Manager.
Request and attend team dynamic development sessions as needed.
Seek opportunities for continuous improvement as they relate to the administration function of the service.

SERVICE DEVELOPMENT

Contribute to discussions about service development and continuous improvement; Support the leadership team with the operationalisation of service developments and provide relevant training where necessary.

OFSTED COMPLIANCE

Support the administrative team to understand their legal obligations in fulfilling the requirement to meet the National Minimum Standards for Adoption, led by the Ofsted Registered Manager.
Support the leadership team in the preparation for an Ofsted Inspection.

HR AND RECRUITMENT

Support the Operations Manager with specific recruitment tasks, including relevant aspects of the recruitment checks and induction process for new team members.

HEALTH AND SAFETY

Support the Operations Manager with admin team-specific health and safety requirements, including clinic and home-based compliance.
Support the Operations Manager with relevant team communications on health and safety matters.

POLICIES AND PROCEDURES AND SAFEGUARDING

Support the Operations Manager with the reviewing and updating of internal policies and procedures.
Support the Operations Manager in collecting and maintaining information for the Single Central Record and internal CPD log and website

INFORMATION SYSTEMS AND IT

Support the Operations Manager in embedding new systems and processes.
Support the Operations Manager in liaison with the service ’ s IT provider.
Adhere to the service ’ s processes for storing and processing all Beacon House data in line with the GDPR Privacy Standard.

CPD

Attend in-house CPD sessions wherever possible and commit to ongoing professional development, with a particular focus on skills relevant to the role.

EXPERIENCE

Essential:

Previous experience managing office operations and administrative tasks, ideally including both the public and commercial within a relevant setting.
Proven ability to supervise and support administrative teams.
Demonstrable experience of working in fast-paced or multi-tasking environments.
Experience of improving office processes and efficiency.
Evidence of holding accountability for the wellbeing, performance and professional development of a team.
Evidence of workforce planning, forecasting and development.
Experience of successfully developing and implementing projects.
Demonstrable experience of handling confidential information professionally and sensitively.

Desirable:

Experience of working in child/adult statutory or clinical settings.
Experience of contributing to inspections by Ofsted/CQC.

Qualifications

Qualification(s) in Administration / Business Studies or HR-related office role, or relevant workplace experience.
GCSEs/A-Levels particularly in English and Maths.

The ability to hold boundaries and offer generous accountability as needed, modelling for the admin team how issues are managed and communicated.
An individual who is confident, assertive, and resilient.
The ability to develop, implement and embed policies and procedures.
An individual who can support their team to communicate thoughts, feelings, and needs directly with the appropriate person, maintaining a culture free from gossip and complaint.
Advanced IT literacy; excellent presentation, communication and data handling skills.

Desirable:

Knowledge about mental health and social care, particularly trauma-informed approaches
