Engineering Scheduler / Service Coordinator
Location: Penkridge, Staffordshire
Hours: Full-time, 37.5 hours per week
Working arrangement: Office-based
Experience scheduling field-based engineers or technicians is strongly preferred.
In our Operations Department, it's not unusual to hear someone say:
"Just give me a minute… I'm in the middle of a huge chess move."
That's because scheduling a nationwide engineering workforce isn't simply filling spaces in a diary.
You need to know which engineer can do the job, where they are, where they're going next, how long the work should take, what the customer requires and what else is happening that week.
Then someone cancels, an urgent job comes in, a site isn't ready or an engineer's programme changes — and you need to work out the next move.
If that's the type of scheduling you already do, we'd like to hear from you.
About L123 Ltd
L123 Ltd is a national electrical compliance specialist providing inspection, testing and compliance services throughout the UK.
Our engineers work across universities, police forces, housing providers, healthcare organisations, retailers, hospitality groups and public sector estates.
We are looking for an experienced Engineering Scheduler / Service Coordinator to join our Operations Team at our Penkridge office.
This is a full-time, office-based role working 37.5 hours per week.
What You'll Be Doing
You will be responsible for planning and coordinating work for a nationwide team of field-based engineers.
This isn't simply appointment booking. You'll be managing engineering diaries and making operational decisions about how work should be allocated to achieve the best use of our available resource.
Your responsibilities will include:
- Planning and managing engineers' diaries across the UK.
- Allocating jobs according to engineer competency, geographical location, customer requirements and availability.
- Planning efficient geographical routes and reducing unnecessary travel and downtime.
- Maximising productive engineering hours.
- Reviewing future workloads and identifying gaps before they become a problem.
- Booking and confirming engineering appointments with customers.
- Coordinating multi-day works and larger programmes of planned work.
- Responding to cancellations, sickness, access issues and urgent jobs by reorganising schedules.
- Monitoring engineers' progress and workloads throughout the day.
- Liaising directly with field engineers regarding jobs, access, site requirements and changes.
- Keeping customers informed of appointments and changes.
- Updating our internal scheduling system and customer portals accurately.
- Working closely with other members of the Operations Team to ensure customer commitments are achieved.
- Escalating resource or programme issues where delivery may be at risk.
The Experience We're Looking For
We are particularly interested in candidates who have previously scheduled mobile engineers, technicians, tradespeople or another field-based workforce.
You may currently work as an:
- Engineering Scheduler
- Service Coordinator
- Service Scheduler
- Resource Planner
- Workforce Planner
- Maintenance Planner
- Field Service Coordinator
- Engineering Planner
- Helpdesk / Service Desk Coordinator with responsibility for engineer allocation
Experience within electrical, mechanical, facilities management, building services, maintenance, utilities, compliance, construction or another field-service environment would be particularly relevant.
What matters to us
You'll need to be someone who can look at a busy engineering diary and understand that moving one job can affect the rest of the week.
We're looking for someone who:
- Has previous scheduling, planning or resource coordination experience.
- Is comfortable managing multiple engineers' diaries simultaneously.
- Understands geographical planning and the importance of minimising unnecessary travel.
- Can prioritise work according to urgency, customer requirements and available resource.
- Thinks ahead rather than simply reacting to today's problems.
- Is confident making scheduling decisions and taking ownership of them.
- Can communicate professionally with engineers and customers.
- Remains organised when priorities change.
- Pays close attention to detail.
- Is comfortable working with scheduling software, customer portals and Microsoft Office.
- Understands that good scheduling has a direct impact on productivity, customer service and business performance.
This Role May Not Be Right for You If...
We want to be clear about the nature of the position.
This is not a retail rota-planning role, hospitality management position or general customer service role.
The successful candidate will be responsible for coordinating a mobile engineering workforce completing jobs at customer sites throughout the UK.
You will therefore need to be comfortable making continual decisions around resource allocation, geography, travel, competency, productivity and customer commitments.
