We are expanding our university and student-event presence in London and are looking for students who understand campus culture and can help us build trusted relationships with student societies, creators, event organizers, and university departments.
About the role
The University Event Organizer Intern will help VibesMeet identify, onboard, and support student organizations and campus event organizers across London.
This is not a passive observation role. The intern will help build a local university pipeline, communicate with student groups, support event planning, and help selected organizers launch events through VibesMeet.
The role is suited to someone who is active within their university community and has an interest in events, partnerships, marketing, business development, creator communities, or entrepreneurship.
Key responsibilities
University and student-group research
- Research universities, colleges, student unions, societies, faculty groups, and campus communities across London.
- Identify organizations that regularly host social, cultural, professional, entertainment, creator, or educational events.
- Find relevant decision-makers, including society presidents, events officers, marketing officers, student-union representatives, and careers-team contacts.
- Maintain accurate organization and contact records in Airtable.
Outreach and relationship development
- Conduct personalized outreach through email, LinkedIn, Instagram, university career platforms, and approved communication channels.
- Introduce VibesMeet’s event, analytics, and sponsorship value to student organizers.
- Follow up consistently while keeping communication professional and relevant.
- Schedule discovery calls, product demonstrations, or onboarding meetings with interested organizers.
- Represent VibesMeet professionally during online and in-person conversations.
Event sourcing and onboarding
- Identify student groups that have upcoming events or are planning future campus activities.
- Qualify opportunities based on event type, expected attendance, audience, timing, and organizer readiness.
- Help organizers create accounts, list events, configure registration, and understand the platform.
- Support organizers in collecting appropriate attendee information and measuring event outcomes.
- Help selected organizers prepare sponsor-ready event information.
Campus activation and event support
- Support or coordinate selected university events in London.
- Attend relevant campus meetings, society fairs, or events when necessary.
- Help manage QR-code registration, check-in, organizer communication, branding, and attendee engagement.
- Confirm event details, timelines, ownership, and operational requirements before launch.
- Escalate event issues early instead of waiting until the event date.
CRM and reporting
- Update Airtable after every meaningful interaction.
- Record the current stage, owner, last contact, next action, follow-up date, and relevant notes.
- Track outreach volume, replies, meetings, qualified organizers, onboarded events, and conversion rates.
- Provide specific daily and weekly updates showing what was completed—not broad updates such as “worked on the CRM.”
- Document useful processes so future interns can continue the work.
Webinar and community support
- Invite London student organizers to VibesMeet webinars and onboarding sessions.
- Help tailor webinar content to the needs of university event organizers.
- Gather organizer questions, objections, and product feedback.
- Help build a community of student event hosts who can collaborate across London campuses.
Ideal candidate
The strongest candidate will:
- Be enrolled at a London university or college.
- Be involved with a student society, campus organization, creator community, student union, or event-planning group.
- Understand how university societies organize, fund, and promote events.
- Be comfortable speaking with students, organizers, university staff, and external partners.
- Communicate clearly through email, Slack, LinkedIn, and video calls.
- Be organized and able to maintain accurate CRM records.
- Take ownership without waiting for detailed instructions at every step.
- Ask questions early when a task or process is unclear.
- Be willing to attend selected London events or campus meetings.
- Be interested in events, partnerships, sales, marketing, business operations, entrepreneurship, or technology.
Students from business, marketing, communications, hospitality, event management, media, computer science, design, data, and other relevant disciplines are welcome to apply.
Helpful experience
Experience in any of the following is useful but not required:
- Organizing university or community events
- Serving on a student-society committee
- Campus ambassador work
- Outreach or business development
- Social-media or creator-community management
- Sponsorship or fundraising
- Eventbrite, Luma, Meetup, or other event platforms
- Airtable, HubSpot, Jira, Google Workspace, or similar tools
- Presentations, webinars, or product demonstrations
What success looks like
During the placement, the intern should help VibesMeet:
- Build a qualified London university pipeline.
- Establish relationships with student societies and campus organizers.
- Generate organizer discovery and onboarding meetings.
- Bring suitable student events onto VibesMeet.
- Improve the quality and completeness of the university CRM.
- Collect practical feedback that improves the organizer experience.
- Help create a repeatable London campus-partnership playbook.
Performance will be measured using outcomes such as:
- Qualified organizations researched
- Personalized outreach completed
- Response and meeting-booking rates
- Organizers moved into active discussions
- Events sourced and onboarded
- CRM accuracy and follow-through
- Event execution and organizer satisfaction

Compensation and placement structure
This opportunity should be offered as either:
- A university-approved placement that forms a required part of the student’s course; or
- A paid internship where the candidate’s responsibilities create worker status under UK rules.
Eligible interns may also receive performance-based compensation for qualifying events they directly source and help close. The specific payment structure must be confirmed in the written offer and reviewed for compliance before publication.
UK guidance makes clear that calling someone an “intern” does not determine their legal status. Interns who qualify as workers are generally entitled to the applicable minimum wage, while students completing a required placement of less than one year as part of a UK-based course may be exempt.
