Full job description

We are seeking a Sales & Administration Coordinator to join our team.

You will provide comprehensive administrative and operational support to the Wholesale, Sales, Transport, Export, and Accounts functions, ensuring the accurate processing of customer orders, invoicing, logistics documentation, data management, and customer service activities.

Key Responsibilities

Sales & Wholesale Administration

Process sales orders, amendments, and customer requests through the wholesale inbox.
Provide day-to-day administrative support to the Wholesale Team.
Maintain and manage the Wholesale Daybook.
Support general sales administration across all customer accounts.
Generate customer invoices and ensure timely distribution.
Set up and maintain customer invoicing information.

Customer & Data Management

Maintain and update customer and supplier records within company systems.
Perform accurate data filing and document management.
Provide general office administration and support services.
Deliver daily administration and maintenance of the Aquarius system.
Support customer assurance activities and respond to customer queries.

Logistics & Transport Coordination

Manage haulier bookings for both chilled and frozen loads.
Coordinate haulier communications and resolve transport-related queries.
Oversee haulier purchase order administration.
Produce and distribute transport documentation, including delivery notes and manifests.
Communicate transport information and documentation to relevant stakeholders.

Export Administration

Provide administrative support for frozen load export activities.
Provide administrative support in the Preparation, process, and distribution export documentation.
Support compliance requirements and ensure documentation accuracy for export shipments.

Accounts & Financial Administration

Support daily accounts administration processes.
Assist with invoice generation, distribution, and record maintenance.

Essential

Strong administrative and organisational skills.
Excellent attention to detail and accuracy.
Experience processing orders, invoices, and transport documentation.
Confident using business systems and Microsoft Office applications.
Strong communication/interpersonal skills with the ability to liaise effectively with colleagues, customers, suppliers, hauliers, and internal stakeholders.
Ability to manage multiple priorities in a fast-paced environment.

Desirable

Experience with Aquarius systems or similar ERP/order processing systems is desirable.
Working within an FMCG environment.

You will work Monday to Friday 40 hours per week.
