Join Our Growing Specialist Neurodevelopmental Team

Are you an organised, compassionate administrator with a passion for supporting children, young people and families with Special Educational Needs and Disabilities (SEND)?

We are looking for an enthusiastic SEND Administrator to join our friendly multidisciplinary team within a specialist private ADHD and Autism service.

This is a rewarding role focused primarily on supporting the delivery of our SEND service. Working closely with our SEND Lead Consultant, you will coordinate referrals, appointments, documentation and communication with families, schools and other professionals, helping to ensure an efficient, compassionate and high-quality service.

In addition to your SEND responsibilities, you may occasionally provide clinical administration and reception support during periods of annual leave, sickness absence or other operational requirements. These duties are undertaken to maintain service continuity and are secondary to the primary SEND function of the role.

About the Role

As our SEND Administrator, you will be responsible for providing comprehensive administrative support to our SEND Lead Consultant and coordinating the day-to-day administration of our SEND service.

You will work closely with families, schools, local authorities and clinicians to ensure reports, meetings and communication are managed efficiently while maintaining exceptional standards of professionalism and customer service.

When required, you will also provide administrative support to the wider clinic during planned or unplanned staff absence, helping to maintain the smooth running of our clinical services.

Key Responsibilities

SEND Administration (Primary Responsibilities)

Provide dedicated administrative and coordination support to the SEND Lead Consultant.
Coordinate school visits, home visits and meetings with families and external professionals.
Support the administration of Education, Health and Care Plan (EHCP) processes and associated documentation.
Organise multidisciplinary team (MDT) meetings, including scheduling, preparing agendas and producing accurate minutes.
Act as a key point of contact for families, schools, local authorities and partner agencies.
Monitor referrals, report deadlines and action plans to ensure work is completed within agreed timescales.
Prepare professional correspondence, reports and SEND documentation.
Maintain accurate records and ensure all documentation is managed in accordance with GDPR and organisational policies.

Clinical Administration (Service Cover Only)

When required to provide operational cover during annual leave, sickness absence or other authorised absence, you may:

Provide a professional reception service, welcoming patients and responding to telephone and email enquiries.
Manage appointments, clinician diaries and referrals using the Semble clinical management system.
Prepare and distribute clinical correspondence and documentation.
Maintain accurate electronic patient records.
Provide routine administrative support to clinicians to support the efficient delivery of clinical services.
Complete general administrative duties including document management, scanning, filing and data entry.
Handle confidential and sensitive information with professionalism and discretion.
Work collaboratively with colleagues across the multidisciplinary team.
Contribute to the continuous improvement of administrative processes and service quality.
Undertake any other duties appropriate to the role as reasonably requested by the Operations Manager.

About You

We're looking for someone who has:

Experience in an administrative or coordination role within a healthcare, education or SEND environment.
A good understanding of SEND and the Education, Health and Care Plan (EHCP) process.
Experience communicating confidently with families, schools and multidisciplinary professionals.
Excellent organisational and time management skills with the ability to prioritise competing workloads.
Exceptional written and verbal communication skills.
Strong attention to detail and a high level of accuracy.
Experience using Microsoft Office and electronic case or patient management systems.
A professional, compassionate and customer-focused approach.

It would be great if you also have:

Experience working within ADHD, Autism or wider neurodevelopmental services.
Experience using Semble or a similar clinical management system.
Knowledge of private healthcare administration.
Understanding of safeguarding responsibilities.
Experience coordinating multidisciplinary meetings.
