Job Overview

We are seeking a dynamic and detail-oriented Educational Office Manager with strong finance skills to lead our administrative and financial operations within our educational institution. This role offers an exciting opportunity to oversee daily office functions, manage financial processes, and support the smooth running of our Alternative Provision.

The ideal candidate will bring a proactive attitude, excellent communication abilities, and a passion for fostering an organized environment.

Duties

Inductions & Onboarding: Welcome new team members by managing the entire staff induction lifecycle. Ensure they are thoroughly trained in our processes, culture, and compliance standards for Safer Recruitment, from day one.
· Compliance & Safeguarding: Maintain our Single Central Record (SCR) to meticulous, Ofsted-equivalent standards. Execute all safer recruitment checks, including Enhanced DBS vetting, right-to-work, reference checks, and qualification verification.
· Finance Administration (Xero): Manage day-to-day invoicing, issue client bills, actively chase outstanding debts, log staff expenses, and perform routine bank reconciliations.
· Procurement & Referrals: Act as the first point of contact for external professionals and local authorities. Answer, process, and track student referrals under our procurement framework.
· Director Support: Field incoming telephone calls, manage high-priority emails, and provide general administrative leverage to the company directors to facilitate smooth business operations.
· Staff Culture & Wellbeing Lead: Act as the internal champion for staff wellbeing. Design, coordinate, and lead structured 1-to-1 staff check-ins to ensure our team feels supported, aligned, and heard

Requirements

Proven experience in office administration with experience in finance management using Xero or similar software.
Knowledge of human resources practices including hiring procedures, employee records management, and HR compliance.
Excellent interpersonal skills, running workplace inductions, tracking staff probation, managing staff wellbeing reviews and enhancing wellbeing across the company.
Prior clerical and administrative experience in an office environment with excellent organizational skills.
Strong communication skills with the ability to clearly convey information verbally and in writing.
Exceptional organizational skills to manage multiple priorities efficiently.
Excellent phone etiquette and customer service skills to engage effectively with diverse stakeholders.
