Full job description

Job Summary

Commonwealth College of Excellence is seeking a Student Attendance and Support Officer to help maintain high standards of student engagement, attendance, and classroom support. This role is responsible for monitoring student attendance, following up on absences, supporting students with fee-related queries including blocked fees, and helping ensure the smooth day-to-day management of students during class hours.

The ideal candidate will be organised, confident in communicating with students, and able to handle sensitive matters in a professional and supportive way.

Key Responsibilities

Monitor and record daily student attendance accurately and in a timely manner.
Follow up promptly with absent students by phone, email, or other approved communication methods.
Maintain accurate records of absences, late arrivals, and follow-up actions taken.
Contact students regarding outstanding or blocked fee issues and provide clear information on required next steps.
Respond to student queries related to fees, attendance, timetables, and general classroom matters.
Support the overall management of students during classes to help maintain a safe, respectful, and productive learning environment.
Liaise with teaching staff and administration teams regarding student attendance concerns and welfare matters.
Escalate recurring attendance issues, non-responsiveness, or serious student concerns to the appropriate department or manager.
Help students understand college expectations, policies, and procedures.
Prepare basic attendance and student follow-up reports for management when required.

Additional Duties

Assist with student registration, induction, and orientation activities.
Update and maintain student records in the college database or management system.
Support communication between students, lecturers, and the administration team.
Help coordinate timetable changes, classroom updates, and student notices.
Provide front-line support for student enquiries in person, by phone, and by email.
Identify students who may need additional academic or pastoral support and refer them appropriately.
Support compliance with college policies, safeguarding procedures, and data protection requirements.
Assist in resolving day-to-day student issues quickly and professionally.
Contribute to improving student retention and engagement through proactive follow-up and communication.
Perform other administrative and student support duties as assigned by management.

Person Specification

Essential Skills and Experience

Previous experience in an administrative, student support, attendance, or customer service role.
Strong communication and interpersonal skills.
Ability to speak confidently and professionally with students from diverse backgrounds.
Good organisational skills and attention to detail.
Ability to manage sensitive information confidentially.
Competent in Microsoft Office and student database systems.
Ability to multitask and work well under pressure.

Desirable

Experience working in a college, school, training centre, or education setting.
Knowledge of attendance monitoring processes and fee follow-up procedures.
Understanding of safeguarding and student welfare responsibilities.
