Full job description

We are looking for an organised, compassionate and proactive Occupational Therapy Assistant / Client Administrator to join our friendly and growing team.

This is a varied role combining client administration with practical support for our Occupational Therapists. You will help ensure that clients, families and professionals receive a responsive and professional service, while also supporting the effective delivery of occupational therapy interventions.

The successful candidate will be confident communicating with a wide range of people, able to manage competing priorities and committed to providing a high standard of client-centred support.

Key Responsibilities

Client Administration

Respond to client enquiries by telephone and email in a professional and timely manner.
Manage new referrals and ensure that client information is recorded accurately.
Arrange appointments, assessments, meetings and therapy sessions.
Maintain confidential client records and electronic filing systems.
Communicate with clients, families, case managers, solicitors and other professionals.
Prepare and send correspondence, appointment confirmations and relevant documentation.
Support the Occupational Therapists with diary management and administrative tasks.
Monitor outstanding actions and follow-up information when required.
Assist with general office administration and social media.

Occupational Therapy Assistant

Assistant Occupational Therapists in delivering agreed therapy programmes.
Assist with preparing resources, equipment and materials for therapy sessions.
Complete therapy activities with clients under the direction and supervision of a qualified Occupational Therapist.
Record observations and provide clear feedback to the supervising therapist.
Support clients to develop their independence, confidence and participation in everyday activities.
Attend client visits, meetings or appointments where appropriate.
Assist with equipment research, ordering and monitoring.
Follow agreed treatment plans, risk assessments and professional guidance.
Maintain appropriate professional boundaries and protect client confidentiality.

About You

We are looking for someone who:

Has excellent organisational and time-management skills.
Communicates confidently and professionally with clients and colleagues.
Is warm, approachable and sensitive to the needs of clients and families.
Can work independently while also contributing positively to a team.
Is comfortable managing several tasks and priorities.
Has good attention to detail and accurate record-keeping skills.
Is confident using Microsoft Office and electronic record systems.
Understands the importance of confidentiality, safeguarding and data protection.
Is willing to learn and develop within the role.
Has experience in healthcare, social care, rehabilitation or client administration, although full training may be provided.

Previous experience as an Occupational Therapy Assistant, Therapy Assistant, Rehabilitation Assistant, Healthcare Assistant or Client Administrator would be an advantage.

A relevant health, social care or administration qualification would be desirable but is not essential.

Additional Requirements

The successful candidate may be required to:

Work flexibly according to service and client needs..

Pay: From £26,000.00 per year
