Job title: People Administration Assistant

Reports to: Volunteer Coordinator

Works closely with: HR Coordinator

Hours: 22.5 hrs per week Mon-Fri worked flexibly

Salary: £12.90 per hour

Location: Beaumond House Hospice Care, Newark

Beaumond House

Beaumond House Hospice supports patients and their loved ones to live as fully as possible across North Nottinghamshire. Ensuring our communities receive the care and comfort they need, free of charge, when every moment matters. Our Care is provided in people's homes across our communities and at the Hospice in Newark.

We treat every person with respect. We deliver compassionate, professional care that supports physical, psychological, and spiritual needs. We look for staff and volunteers who protect dignity, safety, and confidentiality.

Beaumond House Hospice Care is a registered charity. We provide four In-patient beds, and Hospice at Home Care. Hospice at Home supports people with palliative and end of life care needs, often in the last weeks and months of life. Our nurses and health care assistants provide assessment, personal care, emotional support, advice, and advance care planning in the person’s preferred place of care.

Role Purpose

The People Administration Assistant will play a key supporting role within the HR and Volunteering functions, providing reliable and confidential administrative support to both the HR Coordinator and Volunteer Coordinators. By assisting with recruitment administration, compliance processes, record-keeping, and internal communications, the role helps ensure that staff and volunteers are supported effectively and that organisational processes operate smoothly and in line with our values.

Main duties

HR Administration Support

· Assist with recruitment and onboarding administration, including issuing reference requests and monitoring responses

· Support the processing, tracking, and recording of DBS checks and updates in line with organisational policy

· Assist with Right to Work checks and record keeping in line with legal requirements

· Update and maintain employee records on SharePoint and associated HR systems

· Maintain HR spreadsheets, trackers, and databases (including training and compliance), and support the running of e-Learning for Healthcare (eLfH) training reports, updating training records accordingly.

· Assist with filing, scanning, and maintaining accurate personnel records

· Recording and tracking absence of personnel on SharePoint and associated HR systems.

· Assist with the production of new staff ID badges

· Support the compilation and formatting of weekly staff communication emails, under the direction of the HR Coordinator

Volunteer Administration Support

· Assist with volunteer recruitment and onboarding administration

· Process volunteer references and DBS checks, ensuring compliance with safeguarding requirements

· Update and maintain volunteer records on Betterimpact

· Assist with maintaining volunteer spreadsheets and trackers

· Support the coordination of volunteer induction and mandatory training administration

· Assist with the production of new volunteer ID badges

· Support the compilation and formatting of volunteer newsletters and communications, under the direction of the Volunteer Coordinator

· Awareness of safeguarding responsibilities when working with staff and volunteers.

General Duties

· Ensure all records are accurate, up to date, and stored in line with data protection and confidentiality requirements

· Work collaboratively and cooperatively with your Beaumond House colleagues.

· Maintain confidentiality across all areas of Beaumond House and work in accordance with data protection legislation and GDPR requirements

· Comply with the Health and Safety at Work Act.

· Work within Beaumond House policies and procedures.

· Act in line with Beaumond House commitments to equality, diversity, and inclusion.

· Participate in and contribute to team meetings.

· Always act professionally, reflecting and upholding Beaumond House values.

Skills, Experience and Attributes Required

Essential

· Previous administrative experience

· Experience handling confidential or sensitive information

· Strong attention to detail and organisational skills

· Confidence using spreadsheets and maintaining accurate records

· Strong IT skills, including Microsoft Excel, Word, and Outlook

· Good written and verbal communication skills

Desirable

· Experience processing DBS checks and references

· Experience working with HR, volunteer, or compliance systems

· Experience supporting internal communications or newsletters

· Experience in a healthcare, or voluntary sector environment
