Overview

We are seeking a proactive and highly organized Personal Assistant to support executive leadership and streamline daily operations. This dynamic role offers an exciting opportunity to contribute to a fast-paced environment by managing schedules, coordinating communications, and handling essential administrative tasks. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and a positive attitude to help keep everything running smoothly and efficiently.

Responsibilities

Manage and maintain executive calendars, scheduling appointments, meetings, and travel arrangements with precision and foresight
Handle incoming correspondence, emails, and phone calls with professionalism and courtesy, ensuring timely responses and follow-ups
Prepare reports, presentations, and documents using Microsoft Office and Google Workspace tools, ensuring accuracy and clarity
Organize files, data entry tasks, and administrative records to ensure easy access and confidentiality
Coordinate logistics for meetings, events, and conferences including venue arrangements, catering, and materials preparation
Assist with personal errands or tasks as needed to support the executive’s daily activities
Maintain office supplies inventory and place orders to ensure smooth office operations

Skills

Proven experience with administrative duties in a professional setting
Strong organizational skills with the ability to prioritize tasks effectively
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
Experience with QuickBooks or similar accounting software is a plus for handling basic financial tasks
Excellent data entry skills with high accuracy and typing speed
Knowledge of office procedures including clerical tasks such as filing, copying, and scanning
Exceptional phone etiquette with clear communication skills
Ability to adapt quickly to changing priorities while maintaining attention to detail
