JOB DESCRIPTION

Job Title: Finance and Office Administrator

Salary: £35k per annum pro rata

Hours: Min 20 hours per week, Mon-Fri (Workshop working hours are 7:30am-4pm)

Location: SE7 8NQ - Please note, we are currently based in SE6 but will be moving in the next few weeks.

Role Summary

Supersets is an innovative scenery construction company, specialising in film and television, pop promos, commercials, events and high end visual merchandising. We are seeking an exceptional Finance and Office Administrator to join our team. We are currently in an exciting period of growth and the successful candidate will play a vital role in the next stage of development.

The Finance and Office Administrator will be responsible for providing comprehensive financial and administrative support to the Supersets office, ensuring sound budget control & financial reporting systems are developed & maintained across the organisation.

The role will suit a well organised and methodical individual that enjoys working within a small team and has a flexible approach to prioritising and executing their duties. You should be happy working within a versatile, growing organisation as well as having an affinity for developing and maintaining effective systems and routines.

The ability to work independently and to communicate effectively with others so as to provide and receive required information is vital for this role, as is having a proactive and driven approach to work. We are looking for an individual with excellent bookkeeping and time management skills and the ability to prioritise effectively and respond rapidly to shifting demands.

Key Responsibilities

Finance

Receive and record supplier invoices and process them within the accounting system.
Assist the Project Managers in raising, recording and sending out sales invoices. Process the transactions within the accounting system and maintain an understanding of the quotes and requirements.
Create monthly profit and loss statements.
Chase late payments to ensure swift resolution.
Input accounting data into the accounting system.
Reconcile company bank transactions.
Process payroll and manage payments and submissions to HMRC (Using information from external payroll consultants).
Reconcile quarterly VAT transactions.
Manage pension auto enrolment records, compliance reporting & process monthly pension provider payments.
Complete regular data entry and spreadsheet updates.
Process expenses claims and petty cash.
Process staff credit card and trade card expenses / reconciliation.
Efficiently enter accurate data for project specific budgets and cost monitoring.
Resolve finance related queries as the first point of contact for internal and external stakeholders.

Office

Maintain an efficient office environment undertaking routine clerical duties including filing, dealing with post, coordinating stationary orders etc.
Attend to postal, telephone and email enquiries in a timely manner.
Issue contracts and information packs to new starters, ensuring that accurate and complete staff records are maintained.
Evaluate and improve administrative processes.

General

Participate in training initiatives relevant to the duties of the post.
Ensure compliance with company policies and procedures at all times.
Liaise on office IT support and troubleshooting problems where necessary working with our external IT provider and support team.
Play a key role in the maintenance of our social media accounts and keep up to date with posts.

PERSON SPECIFICATION

Essential skills and experience

Proven experience in a Finance & Administrative role
Self motivated, highly driven and enthusiastic with a willingness to problem solve using analytical skills
A good understanding of financial processes & procedures  & Bookkeeping experience
Experience using Xero accounting software  or similar software
High level of competency with Microsoft Office software or Google Docs
Experience creating and maintaining spreadsheets
Professional telephone and email manner
Excellent attention to detail
Ability to work independently and ask for clarification where needed  as well as working as part of a team
Exemplary time management and organisational skills 
Ability to exercise the highest level of confidentiality

Desirable skills

Experience using Mac computers and software 
Knowledge of social media platforms, algorithms and such
Good working knowledge of health and safety regulations and RAMS (Risk Assessments)
Understanding of data protection and the GDPR regulations
Experience working as part of a small team in a similarly varied role
Recognised finance qualification
An interest in scenery construction for the Film and TV industries

Pay: Up to £35,000.00 per year
