Full job description

The Heathrow Site Manager is responsible for the day-to-day running of our vending operation across Heathrow Airport, ensuring machines are fully stocked, operational, clean and maintained to a consistently high standard.

The role will lead the Heathrow operating team, coordinate daily workloads and staffing, manage stock and storerooms, respond quickly to machine issues, and ensure we continue to deliver an excellent service to both Heathrow Airport and its passengers and staff.

Key Responsibilities

Daily Operations

Monitor machine stock levels, sales activity and inactivity to identify machines requiring attention.
Plan daily filling requirements and ensure the team understands which machines and locations need servicing.
Ensure all machines are filled correctly, presented well and cleaned to a high standard.
Regularly check the quality of work completed by the operating team and address any issues.
Ensure staff have the equipment and resources required to carry out their roles effectively.

Team Management

Prepare and manage staff rotas to ensure appropriate coverage across Heathrow (24/7, 365 days per year).
Allocate workloads across the terminals and respond to changes in operational requirements.
Support, supervise and develop the Heathrow operating team, maintaining high standards of performance and customer service.

Stock & Logistics

Have complete ownership of stock ordering, in-bound stock supply and inter-terminal transiting of stock.
Coordinate stock cages and deliveries required across each Heathrow terminal.
Complete stock counts and prepare the relevant site order information by the required deadline.
Ensure all Heathrow storerooms are kept organised, tidy and free from unnecessary waste or rubbish.
Monitor stock availability and highlight any potential shortages or operational risks.

Machine Management

Monitor machine faults and respond promptly to issues identified through the monitoring systems or reported by the team.
Carry out basic first-line checks where appropriate or arrange for a member of the team to investigate.
Escalate faults requiring technical intervention to the engineering team.
Coordinate access and support for engineers where required.
Manage machine cash floats and cash collection/refloating requirements as necessary.
Oversee the operation and upkeep of the coffee machines.

Standards & Customer Service

Maintain excellent standards of machine cleanliness and presentation throughout Heathrow.
Ensure the operation consistently delivers the high level of service expected by Heathrow Airport and Decorum Vending.
Build effective working relationships with Heathrow stakeholders and respond quickly to any operational concerns.
Identify opportunities to improve machine availability, stock levels, presentation and overall service.

About the Role

This is a hands-on management position requiring someone who is organised, proactive and comfortable managing a busy multi-terminal operation.

The successful candidate will need to combine team leadership with practical day-to-day operational management and be willing to respond quickly when circumstances change.

Major technical repairs are undertaken by the engineering team; however, the Site Manager is expected to identify issues quickly, carry out appropriate first-line checks and ensure faults are escalated and resolved.

Excellent knowledge of all four Heathrow terminals (front & back of house), along with a strong understanding of in-bound product supply from HCC is required.
