PA to the Executive Team – Admin & Clerical

Hours: Up to 37 Hours Per Week
Work Pattern: Office-based, Monday to Friday. Part-time hours may be considered.
Contract: Temporary, until Thursday, 31 December 2026
Location: Town Hall, Nuneaton, CV11 5AA, United Kingdom
Start Date: ASAP – Monday, 7 September 2026

About the Role

We're recruiting a Personal Assistant (PA) to support the Chief Executive and Strategic Directors within the Council's Executive Team. This role provides comprehensive administrative, diary management and corporate support, including managing correspondence, arranging meetings and events, preparing reports and documents, and supporting senior management and corporate activities.

What You'll Be Doing

Providing comprehensive administrative and diary management support to the Chief Executive and Strategic Directors.
Monitoring and managing email accounts, correspondence and incoming and outgoing post.
Drafting letters, correspondence, reports, presentations and other corporate documents.
Arranging meetings, appointments, travel and corporate events.
Servicing senior management meetings and assisting with agendas, minutes and related documentation.
Acting as a first point of contact for Elected Members, MPs, employees, members of the public, external organisations, councils and statutory bodies.
Handling enquiries professionally and liaising with relevant Council departments and external organisations.
Maintaining accurate electronic filing systems, including confidential records.
Providing project office support for corporate projects and programme meetings.
Assisting with Cabinet and Council reports and other corporate documentation.
Supporting the Chief Executive and Strategic Directors with Freedom of Information requests, complaints and similar matters.
Raising purchase orders and processing or approving payments using Council systems.
Supporting visits from external partners, Government departments and national organisations.
Providing administrative support to the Leader of the Council and Cabinet Members when required.
Assisting with Mayoral events and other corporate activities, including staff recognition events.
Providing occasional support to the Democratic Services Team for formal Council meetings.
Maintaining confidentiality and complying with data protection, health and safety and equality requirements.
Using Microsoft Office and other relevant technology effectively to support the service.
Undertaking other duties appropriate to the role as required.

What We're Looking For

We're looking for someone highly organised, professional, self-motivated and confident in supporting senior executives and handling sensitive information.

You'll ideally have:

A relevant Level 3 qualification or equivalent.
Experience providing a range of administrative support, including preparing documents and correspondence.
Experience using IT systems to manage appointments and produce correspondence and reports.
Strong working knowledge of Microsoft Word, Excel, PowerPoint and Teams.
Excellent written and verbal communication skills.
The ability to communicate effectively with colleagues, senior managers, Elected Members and external organisations.
Strong organisational and time-management skills, with the ability to meet tight deadlines.
The ability to proofread documents and identify and correct grammatical errors.
The ability to develop and maintain effective working relationships.
A high level of self-motivation, enthusiasm and professionalism.
The ability to handle confidential and sensitive information appropriately.
Commitment to the Council's values, equality of opportunity and high-quality customer service.
A good attendance record.
Previous experience supporting senior executives or directors would be advantageous.
Experience preparing reports for different audiences.
Experience working within local government or knowledge of local government would be desirable.
Experience supporting corporate projects or formal meetings would be beneficial.
Knowledge of equal opportunities and health and safety legislation.
The ability to audio type would be advantageous.
Experience of audit, compliance or quality systems would be desirable.
