Executive Assistant & Office Manager

Location: Bradford, Hybrid (4 days onsite)

Contract: Full‑time, permanent

About the Role

We’re looking for a highly organised and proactive Executive Assistant to provide exceptional support to our Senior Leadership Team. In this role, you’ll protect executive time, manage complex diaries, coordinate travel, and ensure the smooth running of our office environment.

You’ll also oversee property administration, ensuring legal compliance, managing landlord relationships, and keeping documentation up to date. This is a hands‑on role at the heart of the organisation, helping us maintain a professional, efficient, and well‑run workplace.

Hybrid working applies, with four days per week onsite to support visibility, continuity, and leadership needs.

Key Responsibilities

Executive Support — Provide confidential, high‑level assistance to SLT members, anticipating needs and removing barriers to productivity.
Calendar Management — Own complex diary scheduling, protect focus time, and ensure leaders are fully prepared for meetings.
Travel Coordination — Arrange domestic and international travel, itineraries, logistics, and expenses.
Office Management — Oversee daily office operations, facilities, supplies, vendor relationships, and workplace standards.
Onboarding Support — Coordinate new starter logistics, welcome packs, workspace readiness, and induction scheduling.
Meeting & Event Coordination — Organise leadership meetings, workshops, and internal events.
Internal Communication — Draft communications, prepare briefing packs, and manage information accurately and on time.
Property Administration & Compliance — Manage property documentation, legal liaison, compliance oversight, and landlord engagement. Ensure timely responses and minimise cost exposure.
Operational Efficiency — Identify opportunities to streamline processes and improve systems.
Confidentiality & Discretion — Handle sensitive information with professionalism and integrity.

Skills & Experience

Executive Support Expertise — Experience supporting senior leaders and managing competing priorities.
Office Management Capability — Skilled in running a professional, efficient office environment.
Communication Skills — Exceptional written and verbal communication; confident first point of contact.
Stakeholder Management — Able to build trusted relationships across all levels.
Organisation & Prioritisation — Comfortable managing complex diaries, logistics, and multiple tasks.
Tech Proficiency — Strong skills in MS Office, Teams, SharePoint, and digital tools.
Problem Solving — Proactive, resourceful, and able to anticipate issues.
Confidentiality & Professionalism — High integrity when handling sensitive information.
Onboarding & People Support — Experience coordinating induction activities.
Call & Enquiry Handling — Confident managing calls, media requests, and external enquiries.
