Pharma & Healthcare Consulting Startup | Leeds/Wakefield
About the Company
We are a growing pharmaceutical and healthcare consulting company focused on helping clients make sense of complex health, clinical and real-world data.
As an early-stage company, we are building our business, our team and our processes from the ground up. We are looking for people who are energetic, practical and excited by the opportunity to be part of that journey.
The Opportunity
We are looking for a professional, organised and energetic Administrative Assistant to provide essential day-to-day administrative support to the CEO and wider team.
This is an entry-level role suited to someone who is reliable, personable, well organised and comfortable working independently.
You will be an important part of keeping the company organised and running smoothly. Because we are a startup, there will be occasions when you will be asked to help with something outside your usual responsibilities. A flexible, positive and "can-do" attitude is therefore essential.
Key Responsibilities
- Answer and manage incoming telephone calls professionally.
- Manage general email correspondence and routine communications.
- Schedule meetings and maintain calendars.
- Prepare basic documents, letters, spreadsheets and presentations.
- Organise electronic and physical files and records.
- Arrange meetings, rooms, refreshments and other practical requirements.
- Order and maintain office supplies and equipment.
- Coordinate routine deliveries, couriers and suppliers.
- Assist with travel and accommodation arrangements when required.
- Maintain basic administrative records, invoices and expenses.
- Take meeting notes and circulate routine follow-up information.
- Provide general administrative support to the CEO and team.
- Assist with company events, meetings and other activities.
- Undertake other reasonable administrative tasks as the business requires.
The Startup Environment
This is an opportunity to join a company at an early stage of its development.
You will not have a large administrative department around you, so initiative and independence are important. We are looking for someone who can see what needs doing, organise their own workload and get on with tasks without needing constant supervision.
There will be times when priorities change and when you will need to help with something that wasn't in your original job description.
We are looking for someone who enjoys that environment rather than finds it frustrating.
What We're Looking For
- Excellent verbal and written communication skills.
- A professional and confident telephone manner.
- Strong organisation and attention to detail.
- Good time-management skills.
- Ability to work independently and manage your own workload.
- Reliable, dependable and conscientious.
- Comfortable using Microsoft Office/Microsoft 365, particularly Outlook, Word, Excel and PowerPoint.
- Comfortable learning new software and systems.
- Friendly, professional and personable.
- Energetic and positive.
- Resourceful, practical and willing to learn.
- Flexible and willing to help where needed.
- Previous administrative experience is desirable but not essential.
Recent graduates and candidates looking to establish a career in administration are encouraged to apply.
