Role Overview The Institute for Equity hosts three major annual events alongside smaller academic and community engagements: Annual Conference on Equity in Education & Society Annual Yorkshire Inclusion Luncheon Annual National Inclusion Awards © In addition, the Institute hosts two Annual EDI Roundtables and an Annual EDI Lecture. From time to time, there are other events, as required. To optimise operational efficiency and centralise event operations, the Marketing & Events Officer will take ownership of the planning, logistics, and promotional execution for all Institute events. Reporting to the Marketing & Engagement Manager, the role will lead the operational delivery of flagship events, coordinate event-related marketing activity, and support stakeholder engagement and overall event quality. The role will work closely with the Marketing & Engagement Manager, who will retain strategic oversight of the Institute's wider marketing activity, positioning and campaign direction. The Marketing & Events Officer will take responsibility for the effective execution of event-related marketing, communications and operational activity. From time to time, you will be expected to represent to Institute at overnights, some of which might require overnight and away from home travel. 1 Key Responsibilities The Marketing & Events Officer will have operational ownership of event planning and delivery, while working under the strategic direction of the Marketing & Engagement Manager for marketing activity. The role is expected to operate with a high degree of independence in the coordination and delivery of events, while escalating significant strategic, financial or reputational decisions to the Marketing & Engagement Manager. This position will play a key role in ensuring that the Institute's events are professionally delivered, well attended, accessible and aligned with the Institute's wider objectives around inclusion, leadership, education and societal impact. 1. Event Logistics & Operations Lead the end-to-end delivery of the Institute’s three flagship annual events as well as ad hoc seminars, workshops, and roundtables, taking ownership of event planning, coordination and delivery. Automate delegate registration, confirmation emails, joining instructions, reminders and post-event follow-ups. Coordinate venue bookings, catering, audiovisual services, staging, accessibility requirements and supplier arrangements with internal and external vendors. Manage speaker communications, including invitations, travel arrangements, briefing documentation, technical rehearsals and ongoing stakeholder liaison. Use workflow tools to trigger tasks such as speaker reminders, supplier deadlines, sponsor deliverables and feedback requests. Oversee delegate registration processes, ticketing platforms, badging, venue check-ins and event data management. Create standardised event templates, timelines and checklists to reduce repeated manual planning. Create and manage detailed run-of-show schedules for on-the-day execution, acting as the primary point of contact during live events. Coordinate sponsor and partner requirements, including branding, promotional materials, exhibition arrangements, guest tickets and agreed event deliverables. Maintain positive working relationships with speakers, sponsors, partners, suppliers and other external stakeholders throughout the event lifecycle. Ensure events are delivered in accordance with agreed accessibility, inclusion, health and safety and operational requirements. 2. Marketing & Campaign Delivery Work with the Marketing & Engagement Manager to deliver agreed multi-channel marketing campaigns for each event, supporting strategic direction while taking responsibility for event-specific execution. 2 Draft and schedule engaging promotional content across social media channels, direct email campaigns, press releases, and internal news feeds, using agreed messaging and campaign plans. Maintain and update event web pages on the University Centre platform, ensuring accurate information, accessibility and consistent branding. Coordinate the design and production of event collateral, including programmes, signage, digital assets and sponsor materials. Coordinate event communications with speakers, sponsors, partners and delegates to ensure timely and consistent information is provided throughout the event lifecycle. Manage post-event communications, including thank-you messages, session recordings, photo assets, feedback forms and event reporting. Support the collection and analysis of marketing and event performance data to inform future campaigns and improve engagement. 3. Operational Administration & Process Improvement Establish and maintain standardised workflows, event templates and planning timelines to streamline internal processes. Monitor event budgets and expenditure, raise purchase orders and liaise with suppliers, escalating significant variances or financial decisions to the Marketing & Engagement Manager. Maintain up-to-date contact records, delegate lists, speaker information and partner databases in alignment with data protection regulations. Maintain accurate event documentation, including planning schedules, supplier information, speaker details, risk and operational documentation. Gather, analyse and report on delegate feedback, attendance, campaign performance and other key performance metrics to drive continuous improvement. Identify opportunities to improve the efficiency, consistency and quality of the Institute's event planning and delivery processes. Produce post-event reports and recommendations within agreed timescales following each flagship event. Person Specification Category Essential Criteria Degree or equivalent professional Qualifications Desirable Criteria Professional qualification in experience in Marketing, Event Management, Communications, or a related field. Proven track record in coordinating or Experience delivering events from planning through to post-event evaluation. Event Management or Digital Marketing (e.g. CIM). Basic graphic design skills (e.g. Canva, Adobe Creative Suite). Experience with website CMS management. Understanding of accessibility and inclusion best practices for events. Proficiency with Microsoft Office/Excel, email marketing and social media scheduling tools. Ability to use event and marketing data to produce basic performance reports. Experience with a range of digital marketing, analytics or event management platforms. Experience producing or coordinating event video, photography or other digital content.
