Full job description

Salary £33,000 is the full time equivalent. Role is for 25 hours per week with flexible working hours from Monday to Saturday to suit the workload .

Initial zoom interviews taking place on the 28th August, you will be contacted on the 24th August if successfully taken forward to this stage.

Job Overview

This is an interesting and varied part-time role that would suit someone who has practical knowledge of building maintenance and who can arrange and supervise sub-contractors, carry out day to day maintenance, order materials and maintain the overall security and upkeep of the premises.

It requires a fit and active person who can work flexible hours, manage a Front of House Coordinator as well as a small team of contract cleaners and operate a simple computerised spreadsheet to maintain accurate records. The successful applicant will be reliable, self-motivated and a good communicator, who remains calm when under pressure. The key skill is to enjoy the challenge of looking after a converted Victorian industrial building (see below) which is in use six days a week. Good training and management support will be provided for this important role in our organisation.

The building is a large (1,000 square metre), 4 storey Victorian industrial building in Maida Vale that has been converted for use as the headquarters and training centre for a prestigious mental health organisation. It is in use six days a week for 15 hours a day. Some work can be carried out remotely via on-line remote access to the building controls and CCTV equipment. ’

Duties

Undertake general handyman, simple maintenance duties and straightforward repairs
Carry out regular inspections throughout the building and update a building safety, maintenance and repairs registers, following outstanding matters through to completion.
Act as the main day to day contact for staff, members, consulting room users, and other building users about repairs, facilities, access and planned works.
Arrange and co-ordinate regular fire safety checks, fire alarm and emergency lighting tests.
Maintain accurate and accessible records of contracts, quotations, service agreements, inspection reports, certificates, warranties, risk assessments, permits, invoices and contractor contact details, including monitoring renewal and expiry dates. Order and maintain stocks of replacement parts, (light bulbs, batteries and etc), cleaning products and similar consumables.
Manage a small team of contract cleaners and monitor cleaning standards.
Arrange and meet sub-contractors to carry our repairs and undertake planned maintenance and service operations including the heating, air conditioning, ventilation, PAT testing and the lift servicing. Most of the sub-contractors are approved with existing contracts.
Ensure that sub-contractors and service providers are issued with our health and safety policy, carry out their own risk assessments and issue permits where applicable. Evaluate sub-contractor’s performance and report any sub-standard work issues to the Head of Services and Operations.
Obtain and compare quotes, maintain invoice records, and ensure the timely submission of approved invoices to Finance.
Respond to building related urgent issues and emergencies including attendance outside normal workings hours if required. The building can be monitored remotely with CCTV.
Line manage the Front of House Coordinator, who will be working most evenings when seminars are taking place during educational term time. This person will be available to assist you in dealing with any issues and emergencies which occur when they are on duty. You will be asked to provide cover for the front of house role when they are on leave or absent.
