Role Purpose
The Move Coordinator role is a multifaceted position, combining project management, auditing and data management responsibilities within the Moves, Adds & Changes (MAC) service line inside IFM. The role’s main function is to coordinate the logistics of client team moves, within the office or between sites, with detailed planning and flawless execution, in coordination with multiple service lines. The Move Coordinator is also responsible for accurate employee location data management and timely updating of floorplans on the Space & Occupancy platform (FMS).
The Move Coordinator reports to the Regional Facilities Manager and MAC Operations Manager, and works in coordination with the MAC Program team, the Occupancy Planning team, the local IFM teams, and other stakeholders, following agreed processes and procedures. The responsibilities cover own country/area of assignment, but may also extend to regional support throughout EMEA. Occasional domestic and international travel may be required.
What this job involves Moves, Adds, Changes:
Plan and coordinate team moves of varying scope, size and complexity, in close collaboration with relevant stakeholders.
Prepare move communication plans, move lists and locker strategy, in cooperation with relevant teams.
Accurately and timely plan resources needed for each move, with local teams and move vendors.
Conduct site inspection and inventory to ensure that all equipment, team items, furniture, and other assets, are accounted for, and properly packed & labelled for the move.
Engage with the client to understand their team’s requirements for workstation setups and other needs.
Manage and coordinate move vendor deliveries during the moves.
Keep the management and relevant stakeholders informed of progress and any (potential) issues, such as last-minute changes, logistical challenges, unexpected delays, etc.
Build and develop relationships with key partners (occupancy planning, local facility management teams, security, IT, move vendors) to ensure smooth collaboration and delivery of projects.
Using Space & Occupancy platforms and dashboards, perform employee location data audits & management, in line with processes and KPIs, to ensure continuous high accuracy of data.
Perform timely and accurate audits & updates of floor plans, according to the process.
Handle MAC related trouble tickets promptly and accurately, in line with SLAs.
Support move projects, data management & audits primarily in the country/area of assignment, and whenever needed regionally - either remotely or by travelling, on site.

Previous vendor management and stakeholder relationship management experience is preferred
Previous experience with office moves is preferred
Previous data management / auditing experience is preferred
Proficiency in Microsoft Office tools & affinity with project management tools & dashboards, e.g. Corrigo, Asana, Smartsheet, ticketing systems, etc.; otherwise tech savviness is a must
Domestic & international travel ability
