Background
Lar Housing Trust is a dynamic, innovative charity, set up in 2015 to prevent financial hardship through the provision of mid market rent homes across Scotland. Lar currently operates across 34 developments and 800 homes with a further seven developments in construction or planning. Lar has two subsidiary companies: Lar Projects Ltd and Lar Operations CIC which respectively build and manage and maintain properties for Lar and for others. Lar Group currently employs 36 staff members who are building award-winning homes and delivering award-winning services.

Role
Lar is now looking for an experienced corporate services officer to provide high-quality executive, governance and corporate support that enables the chief executive officer, the three company boards and the executive team to operate efficiently, confidently and in a well-coordinated way. The role is central to the smooth running of the CEO office, the effective management of daily priorities, and the delivery of Lar’s governance and key corporate processes and is based at Lar’s head office in Dunfermline with occasional travel to Lar’s other premises.
Duties and key responsibilities
1.1. Trustee and executive Support (30%)
Provide responsive and discreet day-to-day support to the Chief Executive Officer, helping to manage diary commitments, priorities, correspondence and the smooth flow of the CEO office. This includes monitoring and escalating priority matters, coordinating trustee and executive communications, supporting the Chairs, Trustees and Non-executive Directors as required, managing administrative arrangements, and ensuring senior leaders have the information and support needed to work effectively.
1.2. Governance and Board / Committee Administration (30%)
Lead the planned coordination of Lar group entities’ governance cycle, ensuring Board and Committee business is well organised, compliant and delivered to schedule. This includes preparing agendas and papers, maintaining forward work plans, drafting minutes and action registers, advising on quorum and Terms of Reference, supporting written resolutions, and helping ensure governance decisions are accurately recorded and followed through.
1.3. Statutory, Policy and Information Governance Administration (15%)
Maintain accurate core statutory, governance and information governance records to ensure legal compliance. This includes Companies House, OSCR and Scottish Government filings, maintaining key legal and compliance registers, and overseeing policy, records management and confidentiality.
1.4. Corporate Coordination, Events and Stakeholder Liaison (10%)
Coordinate a range activities that support the organisation’s external reputation and internal effectiveness. This includes organising incoming MP/ MSP / Councillor visits, liaising with senior contacts across government(s) and partner organisations, supporting events and working across Lar Group to ensure smooth delivery of corporate tasks.
1.5. Corporate Services and Improvement (15%)
Support the effective running of the Corporate Services function and continuous improvement of systems and processes. The role also contributes high-quality written work such as reports, letters, presentations and briefing papers, while providing flexible administrative support across the Executive Team as organisational priorities require.
Person Specification
The candidate is expected to have:
➢ Recognised qualification in administration, business support or governance, or equivalent relevant experience.
➢ Experience of maintaining statutory, governance or information governance records and registers accurately and confidentially.
➢ Strong working knowledge of Microsoft 365, including Outlook, Word, Excel, Teams and SharePoint.
➢ Experience of preparing agendas, board or committee papers, minutes, action logs and forward work plans to a high standard.
➢ Proven experience of supporting Boards, Committees or senior leadership teams in a governance or executive support capacity.
➢ Evidence of excellent written communication skills, with the ability to draft accurate minutes, reports, correspondence and briefing papers.
➢ Experience of providing proactive diary, inbox or executive administration support at senior level.
