Full job description

Job Overview

We are looking for a highly organised, detail-oriented Operations & HR Assistant to support the smooth running of both business operations and people processes. This is a varied role combining operational administration, onboarding, HR coordination, recruitment administration, and employee record management.The successful candidate will play a key role in ensuring new starters have a positive onboarding experience, maintaining accurate HR records, supporting recruitment activities, and helping to improve and document internal processes. The role requires strong organisational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.Key ResponsibilitiesOperations Administration

Set up new projects and matters within internal systems.
Provide matter administration support and maintain project records.
Assist with timesheet management and employee timesheet queries.
Create, maintain and update process documentation and operational guides.
Support continuous improvement initiatives by documenting and refining internal processes.
Assist with operational reporting and administrative tasks as required.

Onboarding & Employee Lifecycle Support

Coordinate onboarding activities for new starters, including technology setup and system access.
Create, maintain and regularly update onboarding documentation and induction materials.
Manage joining formalities and ensure all required paperwork is completed before start dates.
Coordinate new starter communications and induction schedules.
Support employee offboarding processes, ensuring accurate records and system updates.
Maintain employee databases and HR systems, ensuring information is accurate, up to date, and compliant with data protection requirements.

Recruitment & HR Administration

Support recruitment activities by managing candidate communications and interview scheduling.
Maintain candidate databases and recruitment records.
Coordinate interview logistics with hiring managers and candidates.
Assist with recruitment administration throughout the hiring process.
Prepare and maintain HR documentation, letters and employee records.
Support HR compliance activities and record-keeping requirements.

HR Compliance & Audit Support

Conduct regular HR audits to ensure employee records are complete and up to date.
Maintain compliance documentation and ensure appropriate filing of employee information.
Monitor onboarding and employment documentation to ensure completeness and accuracy.
Maintain confidentiality when handling employee and candidate information.

Skills & Experience

Previous experience in an HR Assistant, People Coordinator, Operations Assistant, Office Administrator, or similar role.
Strong administrative and organisational skills.
Excellent attention to detail and accuracy.
Experience maintaining databases and employee records.
Confident using Microsoft Office and business systems.
Strong written and verbal communication skills.
Ability to prioritise workload and manage multiple tasks simultaneously.
Professional, discreet and trustworthy when handling confidential information.

Desirable

Experience supporting recruitment and onboarding processes.
Familiarity with Finance or HR systems and applicant tracking systems (ATS).

Pay: £20.00-£25.00 per hour

Work Location: Hybrid remote in London
