Job Purpose
To coordinate and support the delivery, quality assurance, compliance, and continuous improvement of apprenticeship and diploma programmes across the organisation. The role is responsible for ensuring that learner journeys are effectively managed, quality standards are maintained, apprenticeship funding and compliance requirements are met, and employers, learners, and delivery teams receive proactive support throughout the programme lifecycle.
The postholder will work closely with quality, curriculum, assessment, compliance, and management to ensure the organisation consistently delivers high-quality provision that meets regulatory, awarding body, and contractual requirements
Key Responsibilities
Quality Assurance & Continuous Improvement
- Coordinate quality assurance activities across all apprenticeship and diploma provision.
- Support the development of the Quality Improvement Plan (QIP).
- Coordinate tutor quality reviews, observations, and audits,
- Monitor quality improvement actions and ensure timely completion by relevant staff.
- Support curriculum teams in maintaining high standards of teaching, learning, assessment, and learner support.
- Identify trends, risks, and areas for improvement through quality monitoring activities.
- Contribute to continuous improvement initiatives aimed at improving learner achievement, retention, progression, and employer satisfaction.
Apprenticeship Programme Coordination
- Coordinate apprenticeship learner journeys from enrolment through to End-Point Assessment (EPA).
- Maintain accurate apprenticeship tracking systems and ensure milestones are effectively monitored.
- Monitor apprentice progress against planned learning hours, off-the-job training requirements, and programme targets.
- Schedule and coordinate apprentice reviews, progress meetings, and intervention activities.
- Track achievement of functional skills, mandatory qualifications, and gateway requirements.
- Support tutors, apprentices, and employers to ensure programme objectives are achieved.
- Support apprentice onboarding, induction processes, and completion activities.
- Monitor learner engagement and identify apprentices at risk of withdrawal or non-achievement.
- Coordinate apprenticeship transfers, breaks in learning, changes of employer, and programme withdrawals in accordance with funding rules.
- Support readiness activities for EPA, ensuring all gateway requirements and evidence are completed accurately and on time.
- Maintain EPA trackers and liaise with End-Point Assessment Organisations (EPAOs) regarding registrations, bookings, and outcomes.
- Ensure apprenticeship records remain compliant with current funding and regulatory requirements.
Diploma Programme Coordination
- Coordinate the administration and tracking of diploma programmes and accredited qualifications.
- Monitor learner registrations, certification claims, and awarding organisation requirements.
- Ensure assessment and internal verification activities are completed within agreed timescales.
- Monitor learner progress and achievement against programme targets.
- Support standardisation activities relating to diploma delivery and assessment.
- Support external quality assurance visits and awarding organisation audits.
- Maintain qualification records and evidence required for certification.
Data Collection & Reporting
- Monitor apprenticeship achievement rates, retention rates, attendance, learner progress, destination outcomes, and EPA success rates.
- Produce regular reports and dashboards for senior management.
- Identify emerging risks and trends through data analysis.
- Maintain accurate quality, compliance, and performance records.
- Support management information reporting requirements for internal and external stakeholders.
Self-Assessment & Evaluation
- Support the maintenance of the Self-Assessment Report (SAR).
- Coordinate collection of evidence relating to quality improvement and performance.
- Monitor progress against SAR actions and quality improvement objectives.
- Contribute to annual quality reviews and evaluation activities.
- Support preparation of evidence for inspections, audits, and external reviews.
Compliance & Funding Requirements
- Support audit preparation and evidence gathering activities.
- Ensure programme documentation is maintained accurately and in line with quality standards.
- Identify compliance risks and escalate concerns as appropriate.
- Support implementation of regulatory updates and changes across the organisation.
Learner and Employer Engagement
- Coordinate learner, apprentice, and employer feedback activities including surveys, focus groups, and reviews.
- Analyse feedback and identify opportunities for service improvement.
- Support employer engagement activities and maintain positive relationships with employer partners.
- Monitor learner satisfaction and employer satisfaction measures.
- Ensure feedback informs quality improvement planning and delivery practices.
- Support resolution of learner and employer concerns where required.
Support to Delivery Teams
- Provide guidance and support to tutors and managers on quality expectations and compliance requirements.
- Support staff development activities linked to quality improvement.
- Promote sharing of good practice across curriculum areas.
- Assist managers in implementing quality improvement actions and interventions.
Documentation & Administration
- Maintain quality systems, trackers, quality logs, action plans, and audit trails.
- Produce meeting minutes, reports, action plans, and quality documentation.
- Ensure apprenticeship and diploma records are complete, accurate, and audit ready.
- Coordinate documentation required for inspections, external quality assurance activities, and funding audits.
- Maintain confidentiality and compliance with GDPR requirements.
Person Specification
Essential
- Experience working within apprenticeship, training, education, or quality assurance environments.
- IQA qualification or equivalent quality assurance experience.
- Strong understanding of apprenticeship standards, funding rules, and EPA requirements.
- Knowledge of quality improvement processes, SAR, and QIP development.
- Experience supporting audits, inspections, or external quality assurance visits.
- Strong organisational and administrative skills with the ability to manage multiple priorities.
- Excellent data analysis and reporting skills.
- Strong communication and stakeholder management skills.
- Proficient in Microsoft Office and learner management systems.
- Knowledge of awarding organisation requirements and qualification processes.
Desirable
- Qualification in Education, Quality Assurance, Management, or Continuous Improvement (e.g., ILM, CQI).
- Experience within an Ofsted-regulated provider.
- Experience coordinating diploma or vocational qualification programmes.
- Understanding of ESFA funding compliance and audit requirements.
