About Fleeto

Fleeto is a leading PCO car rental company dedicated to providing high-quality vehicles and exceptional customer service to our clients. As part of a larger group, Fleeto plays a vital role in ensuring smooth operations for private hire drivers across the UK.

Role Purpose

The Car Rental Agent will be the first point of contact for visitors, drivers, and partners at Fleeto. This role combines traditional front of house responsibilities with hands-on involvement in vehicle handovers, including check-in and check-out inspections. The ideal candidate will be professional, highly organised, and customer-focused with strong attention to detail.

Key Responsibilities

Front of House & Reception:

Welcome visitors, drivers, and customers, ensuring a professional and friendly first impression.
Answer incoming calls, emails, and queries in a timely and polite manner.
Manage reception area to ensure it is tidy, professional, and welcoming at all times.
Handle basic administrative duties (filing, data entry, scanning, booking appointments).
Support customer service queries and escalate issues where required.

Vehicle Check-In / Check-Out Duties:

Carry out vehicle handovers with drivers, including:
Conducting thorough pre- and post-rental vehicle inspections (inside and out).
Recording vehicle condition accurately with photos and checklists.
Explaining vehicle features and rental terms to customers.
Collecting keys, documents, and ensuring correct sign-off.
Report any damages, defects, or missing items promptly to the Operations team.
Update booking system with inspection results and status of vehicles.
Support the fleet team in coordinating vehicle availability.

Key Skills & Attributes

Professional, approachable, and customer-focused.
Strong communication skills (verbal and written).
High attention to detail when recording vehicle condition.
Good IT skills – confident using booking systems, email, and MS Office/Google Suite.
Ability to multitask in a fast-paced environment.
Team player with a proactive and flexible approach.

Requirements

Previous experience in a customer-facing or reception role (desirable but not essential).
Knowledge of vehicle rental, automotive, or PCO sector (an advantage, but training provided).
Full UK driving licence (preferred, for moving vehicles when needed).
Must be reliable, punctual, and well-presented.
