Full job description

We are seeking an enthusiastic and organised Project Coordinator to join our organisation. This is an excellent opportunity for someone looking to develop a career in clinical research and project management.

Working closely with clients, study teams and external partners, the Project Coordinator will provide day-to-day administrative support across a portfolio of clinical research projects. The role will involve a combination of client-facing activities, meeting coordination, Trial Master File (TMF) maintenance and general project administration.

The successful candidate will be highly organised with exceptional attention to detail, proactive and comfortable working in a fast-paced, regulated environment.

This is a full time, permanent role (37.5 hours a week), Monday to Friday. Although experienced applicants are welcome, no previous experience in clinical research is necessary as full training will be provided.

Key Responsibilities

Provide day to day coordination and administrative support to the Project Manager and CRO team.
Act as a professional and responsive point of contact for clients and vendors, escalating queries where appropriate.
Support communication between clients, investigators, vendors, internal teams and other study stakeholders and maintain accurate records of key communications.
Assist with preparing and circulating meeting minutes, project updates, decision logs and other project documentation.
Help maintain project timelines and action logs and follow up on outstanding actions to ensure resolution.
Organise project meetings and prepare agendas, meeting materials and supporting documentation.
Support the maintenance of the Trial Master File (TMF) in accordance with study requirements and company procedures.
File and maintain essential study documents accurately and in a timely manner.
Assist with routine checks of the TMF documentation for completeness, quality and appropriate filing.
Share relevant documents and updates with the clinical site(s).
Support invoicing and purchase order administration where required.
Provide general administrative support to the wider team as required.

Skills, Education and Experience

National 5’s including English and Maths or equivalent;
Degree in life science discipline (desirable)
Strong organisational and time-management skills.
Excellent attention to detail and accuracy.
Good written and verbal communication skills.
Ability to manage multiple tasks and priorities effectively.
Professional and confident manner when communicating with clients and colleagues.
Ability to work independently while also contributing effectively to a small team.
Appreciates working within a regulated environment and in compliance with Good Clinical Practice.
A willingness to learn about clinical research and the CRO environment.
Confident using Microsoft 365 products, particularly SharePoint, Office and Outlook.
