This is a term time only - permanent position 2 days per week with a National NJC pay grade Sc3 scale point 5 and 5, £27,269 – £29,093 (pro rata £8,557 - £8,693)

Job purpose:

To be the first point of contact for students, staff, official visitors, parents and contractors to Nore and Estuary Academy Island via the electronic entry system and reception areas.

Main duties include answering the telephone, taking accurate messages, contacting parents, as well as the day to day record keeping and processing of data.

Duties and responsibilities

This job description describes in general terms the normal duties which the post-holder will be expected to undertake. However, the job or duties described may vary or be amended from time to time without changing the level of responsibility associated with the post.

Specific duties

To be the first point of contact for students, staff, visitors, parents/carers, contractors and external professionals via the electronic entry system and reception areas, providing a welcoming and professional service.
Communicate effectively with a wide variety of people including young people, colleagues, senior leaders, external agencies and members of the public, acting on own initiative to deal with day-to-day enquiries in person, by telephone, email or in writing.
Answer telephone calls, transfer calls as appropriate, take accurate messages and make outgoing calls as requested.
Support the Administrative Assistant to the Headteacher and, under their guidance, provide administrative support to the Senior Leadership Team (SLT), ensuring tasks are completed efficiently and to agreed timescales.
Work closely with the attendance team to accurately record, update and maintain attendance and punctuality information, ensuring data is entered promptly and in line with school procedures.
Liaise with the Administrative Assistant and attendance team regarding student attendance concerns, ensuring information received from parents/carers is accurately recorded and communicated to relevant staff.
Accurately enter exclusion data onto SIMS and prepare associated correspondence for parents/carers, local authorities and other agencies as required, including the Children Looked After (CLA) Team where appropriate.
Input, maintain, retrieve and collate student information using SIMS and other school databases, ensuring records remain accurate and up to date.
Support the maintenance of student records, contact information and other administrative systems, ensuring compliance with data protection requirements.
In liaison with the Finance Assistant, distribute school uniform and other resources as required, recording payments and cash receipts in accordance with school procedures.
Collect, sort and distribute incoming and outgoing post and deliveries.
Assist with mailshots, preparing correspondence, filling envelopes and arranging postage.
Undertake photocopying, filing, scanning, emailing, shredding and other general administrative duties.
Assist with the preparation and distribution of Individual Action Plan (IAP) packs and other student documentation.
Take notes and minutes at meetings as directed and produce correspondence, reports and standard letters using Microsoft Office applications.
Update and maintain weekly contact lists, termly telephone lists and school calendars, ensuring information is accurate and circulated appropriately.
Report day-to-day maintenance issues and site concerns to the Site Supervisor and maintain records where required.
Support the organisation of meetings, appointments and school events as directed.
Maintain confidentiality at all times and ensure that sensitive information is handled in accordance with school policies and procedures.
Ensure compliance with school policies and procedures, including those relating to safeguarding, health and safety, equality, confidentiality and data protection.
Undertake any other reasonable administrative duties commensurate with the grade of the post as directed by the Headteacher, Administrative Assistant to the Headteacher or Senior Leadership Team.

· Have an awareness of SEMH needs and value the power of education to support these.

· Be committed to child protection and take a personal and collective responsibility for all aspects of safeguarding.

· Have a desire to support the well-being, resilience, and self-belief of our students
