Full job description

Compliance & HR Associate

Location: Baker Street, London

Working pattern: Full-time, hybrid working with 2–3 days per week in the office

Salary: £32,000–£34,000 per annum, depending on experience

Hours: 40 hours per week

About the role

We are a leading private day surgery hospital seeking an organised and proactive Compliance Associate to support the safe, compliant and effective operation of the clinic.

This varied role covers regulatory compliance, clinical governance, and basic HR and operational support. The successful candidate will report to the Managing Director and work closely with senior management, clinical staff, surgeons and administrative teams to maintain high standards of patient care and professional practice.

The role would suit someone with experience in healthcare compliance, clinical governance, legal matters or another regulated environment. Experience within private healthcare or a CQC-regulated service would be particularly beneficial.

Key responsibilities

Regulatory compliance, CQC and policies

Support the clinic in meeting its obligations under the Health and Social Care Act 2008, CQC regulations and other applicable requirements.
Maintain compliance records, evidence folders and action plans to support CQC inspection readiness and other regulatory reviews.
Monitor relevant legislation and guidance issued by NICE, AfPP and other professional bodies, ensuring that changes are reflected in the clinic’s policies, procedures, working practices and staff competency frameworks.
Review and update policies and standard operating procedures in collaboration with clinical and operational leads.
Manage the policy review schedule and ensure that approved documents are version-controlled, stored and communicated appropriately.
Coordinate internal compliance audits, identify risks or areas of non-compliance and follow up resulting actions.
Support staff understanding of the CQC regulatory framework and relevant clinic procedures.

Clinical governance and patient safety

Coordinate Clinical Governance Committee and Medical Advistory meetings, including scheduling, agendas, governance reports, supporting information, minutes and action trackers.
Monitor and report on incidents, near misses, complaints, patient feedback, audits, staff training and other governance indicators.
Assist with incident investigations and root cause analyses, and monitor corrective and improvement actions through to completion.
Support the communication and implementation of learning arising from incidents, complaints, audits and regulatory guidance.
Manage relevant external reporting and quality programmes, including the Private Healthcare Information Network (PHIN) and patient-reported outcome measures where applicable.

Human resources and staff administration

Support recruitment, onboarding and induction for new employees and contractors.
Coordinate pre-employment checks, references, right-to-work documentation and personnel records.
Draft employment contracts, offer letters, contract amendment letters and other employment documentation.
Maintain accurate and confidential employee records and monitor mandatory training, professional registrations, appraisals and other employment requirements.
Prepare HR correspondence, including probation outcome letters and invitations to formal or informal meetings.
Support sickness absence, return-to-work, probation and performance-management processes.
Assist with reviewing and implementing HR policies, respond to routine staff queries and escalate complex matters appropriately.
Coordinate staff training sessions and internal engagement activities where required.

Information governance and systems administration

Support compliance with UK GDPR, confidentiality, data-retention and information-governance requirements.
Coordinate subject access requests and other information requests within the applicable timescales.
Act as a super-user for the clinic’s systems, including Semble, BrightHR, Voipfone and Slack.

Operational support

Prepare staff communications, newsletters and presentations.
Provide general administrative and operational support appropriate to the level of the role.

Essential skills and experience

Previous experience in compliance, clinical governance, legal matters, healthcare administration or another regulated environment.
Excellent written and verbal communication skills, with the ability to prepare professional correspondence, reports, policies and meeting minutes.
Strong organisational skills, attention to detail and the ability to manage competing priorities.
Ability to maintain accurate records and handle confidential or sensitive matters professionally.
Confidence working independently, taking ownership of tasks and following actions through to completion.
A professional, dependable and solutions-focused approach.

Desirable skills and experience

Experience working within a CQC-regulated healthcare provider or a good understanding of the CQC regulatory framework and fundamental standards.
Experience within private healthcare, day surgery or an independent hospital.
Awareness of relevant healthcare legislation and professional guidance, or a willingness to develop this knowledge.
Experience with PHIN, clinical governance, HR administration, information governance or subject access requests.
Familiarity with healthcare patient-management systems
A relevant qualification in healthcare management, compliance, HR, law, business administration or a related discipline
