Full job description

Transitional housing is fast‑paced, structured, and deeply impactful — and our team needs an Admin Assistant who can keep operations running smoothly while supporting vulnerable individuals moving into safer, more stable accommodation.

We’re looking for someone organised, proactive, and confident managing a varied workload in a service where accuracy, professionalism, and safeguarding are essential.

About the Role

As the Admin Assistant for the Transitional Housing Team, you will provide day‑to‑day administrative support to ensure the smooth running of referrals, sign‑ups, property management tasks, and tenant documentation. You will also play a key role in onboarding new properties, ensuring all compliance checks, documentation, and system updates are completed before a property goes live.

This role is ideal for someone who thrives in a structured environment, enjoys problem‑solving, and takes pride in maintaining high‑quality records and communication.

Key Responsibilities

Manage incoming referrals, enquiries, and waiting lists, ensuring timely responses and accurate data entry.
Prepare tenancy sign‑up packs, support plans, risk assessments, and other essential documentation.
Maintain up‑to‑date records across housing systems, trackers, and compliance logs.
Coordinate property viewings, contractor appointments, and team schedules.
Support the team with void management tasks, including updating adverts and tracking occupancy.
Lead the administrative onboarding of new properties, including:
Logging property details and uploading compliance certificates.
Preparing onboarding checklists and ensuring all required documents are completed.
Updating internal systems, trackers, and property files.
Liaising with landlords, contractors, and internal staff to ensure readiness for occupation.
Handle general administrative duties such as filing, scanning, minute‑taking, and preparing reports.
Communicate professionally with tenants, support workers, partner agencies, and local authorities.
Ensure all documentation meets safeguarding, GDPR, and organisational standards.

About You

You will be someone who is:

Highly organised with strong attention to detail.
Confident using housing systems, spreadsheets, and digital platforms.
Able to prioritise tasks in a busy, fast‑moving environment.
Professional, calm, and clear in communication.
Comfortable working with vulnerable adults and maintaining strict confidentiality.
A team player who can also work independently when needed.
Experienced in housing, social care, or a similar administrative role (desirable but not essential).

Pay: From £12.71 per hour

Expected hours: 37.5 per week
