Concierge / Security Administrative Assistant
Role Overview
The Concierge / Security Administrative Assistant is the first point of contact for all visitors, clients, and employees entering the site. This role plays a critical part in creating a professional, welcoming, and secure front-of-house environment within a large technology manufacturing facility.
In addition to reception duties, the role provides administrative and reporting support to the site Security Management team. The successful candidate will be organised, proactive, discreet, and comfortable working in a fast-paced, security-conscious environment.
Key Responsibilities
Front Desk & Visitor Management
- Welcome all visitors professionally and ensure a positive first impression
- Manage visitor check-in, registration, and badge issuance using designated systems
- Verify identification and ensure compliance with site security and access procedures
- Answer and direct incoming calls, emails, and general enquiries promptly and professionally
- Liaise with internal teams to notify hosts of visitor arrivals
Administrative & Security Support
- Maintain accurate visitor logs, access records, and security documentation
- Support the Security Management team with administrative tasks, reports, and data collation
- Prepare reports and assist with the compilation of presentations as required
- Manage incoming and outgoing mail, deliveries, and courier services
- Schedule meetings, coordinate calendars, and support general office administration
- Ensure the reception area and workspaces are tidy, organised, and presentable at all times
Reporting & Presentations
- Compile routine and ad-hoc reports with attention to accuracy and confidentiality
- Assist in the preparation and formatting of presentations for internal and external use
- Use Microsoft Office applications and Copilot effectively to support reporting tasks
Customer Experience & Professional Standards
- Deliver a consistently high standard of customer service to visitors and employees
- Handle issues, queries, or complaints calmly and professionally
- Communicate clearly and effectively with colleagues across departments
- Maintain strict confidentiality and adhere to site security, health & safety, and company policies
Skills & Qualifications
Essential:
- GCSE Maths, English, and ICT at Grade C/4 or above (or equivalent, e.g. Essential Skills or ECDL)
- Proficient in Microsoft Word, Excel, PowerPoint, and MS Teams
- Comfortable using AI tools, particularly Microsoft Copilot
- Excellent communication and interpersonal skills
- Strong organisational skills with the ability to multitask and prioritise
- Ability to remain calm, professional, and focused in a busy environment
Desirable:
- Previous experience in reception, concierge, administrative, or security-based roles
- Familiarity with visitor management or access control systems
- First Aid and/or customer service training
