About The Sub Rooms
The Sub Rooms is a charity based in a historic Grade II listed Georgian building in the heart of Stroud, Gloucestershire.
It is a unique venue providing an innovative programme of music, dance, theatre, exhibitions, workshops, weddings and festivals. Playing host to a number of great names including The Waterboys, KT Tunstall, Macy Gray, Martin Kemp, and David Rodigan. The Sub Rooms is a busy and varied venue at the heart of Stroud's cultural community.
Job Overview
We are looking for a reliable, enthusiastic and hands-on Event Manager to help ensure that events at The Sub Rooms run safely, smoothly and to a high standard.
The Event Manager is responsible for overseeing the building, staff, audience and event operations during their allocated shifts. You will act as a key point of contact for staff, performers, technical teams and members of the public, responding confidently to any issues that arise during an event.
This is a flexible role suited to someone who enjoys live events, working with people, and being hands-on. You will need to be comfortable working independently, making decisions, and taking responsibility for the building during evening and weekend events.
Working Pattern & Hours
This is a contracted role based around the Sub Rooms' events programme.
The usual working pattern is 12 hours a week as follows:
- Two nights across the weekend, depending on the events schedule. This may be Friday, Saturday or Sunday depending on programming.
- Occasional weekday evening shifts, generally Tuesday or Wednesday, when required by the events schedule.
- Occasional Saturday daytime shifts, for daytime events, workshops, festivals, weddings or other activity.
- The exact shifts will vary depending on the programme and will be communicated as far in advance as reasonably possible, typically 6 weeks in advance.
The role operates on a flexible/annualised hours basis. Where additional hours are worked during particularly busy periods, these hours will be recorded as flexi hours and can subsequently be taken back during quieter periods of the year, such as January and the summer months.
This means that during quieter periods you may have fewer or no shifts to work while continuing to receive your contracted pay, with the additional hours worked during busier periods balancing the annual working hours.
The nature of the role means that flexibility is important, and there may occasionally be changes to shifts depending on the events programme.
As Event Manager, you will:
Event & Building Operations
- Act as the Event Manager for a range of Sub Rooms events, primarily during evenings and weekends.
- Take responsibility for the safe and smooth running of the building while on duty.
- Prepare the building for events, ensuring rooms, public areas and facilities are appropriately set up.
- Check that lighting, doors, fire exits, toilets, accessibility routes and other relevant areas are ready for the event.
- Check handover notes and communicate any relevant information to the appropriate staff or managers.
- Liaise with the Box Office regarding expected audience numbers, seating plans and admissions.
- Liaise with the Technical Manager and other event staff to ensure everyone is aware of the event requirements.
- Prepare and deliver a staff show briefing, including roles, responsibilities and fire positions.
- Ensure staff have the appropriate radios and equipment and conduct radio checks before the event.
- Monitor the building throughout the event and respond to operational issues as they arise.
- Be in charge with health and safety of anyone in the building; we offer first aid, fire Marshall, and basic training.
- Ensure customers, performers, staff and contractors have a safe and positive experience.
- The Duty Manager role is a hands-on operational position and will include some basic maintenance, cleaning and housekeeping tasks as part of keeping the venue safe, clean and operational. - The Duty Manager is not expected to carry out specialist maintenance or repairs. Any issue requiring specialist attention should be reported to management.
To join us as Event Manager, you'll need:
- Experience working in a live music venue, events venue, hospitality environment or similar setting.
- Previous experience supervising staff or taking responsibility for a team.
- A good understanding of practical health and safety.
- The confidence to take responsibility for a building and event while working independently.
- The ability to remain calm and make sensible decisions under pressure.
- Good communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- A practical, hands-on approach and willingness to get involved in all aspects of venue operations.
- The ability to work evenings, weekends and occasional weekday shifts.
- The ability to follow procedures relating to fire safety, evacuation, safeguarding and venue security.
- Basic computer skills and the ability to complete electronic or written reports.
- A willingness to undertake relevant training required by The Sub Rooms.
- A positive and flexible attitude towards changing events and operational requirements.
- The ability to carry out basic cleaning, housekeeping and manual tasks as part of the role.
- An interest in live music, theatre, arts, culture and events is desirable.
